- Has hands-on experience managing agency operations, with a strong understanding of how digital marketing teams work day to day.
- Has previously been responsible for managing ClickUp (or similar project management tools) to support delivery, resourcing, and accountability. It’s desirable that you’ve previously been involved in the rollout of such a platform.
- Has worked in a digital marketing agency environment and understands the types of tasks, workflows, and pressures teams operate under.
- Is confident working with people at all levels of the business and can clearly communicate expectations, drive adherence to processes, and manage change professionally.
- You’re good with data and you know how to make Google Sheets do smart things.
- Can engage and influence both in-person and remote team members, building trust and buy-in across a distributed team.
- Is proactive and improvement-led, bringing ideas to the table on how processes, systems, and ways of working can be refined; not just executing what already exists.
- Brings strong organisational and prioritisation skills, with the ability to manage multiple moving parts without things slipping.
- Has clear, confident written and verbal communication skills.

- Own and evolve the operational foundations of the agency, working closely with senior leaders to scope, deploy, and optimise ClickUp as the central system for delivery, resourcing, and reporting.
- Build and maintain clear operational reporting that gives leadership visibility over team capacity, utilisation, delivery performance, budget health, and upcoming resourcing risks across client accounts.
- Act as a trusted operational partner to senior leaders, providing data, insight, and practical support that helps the agency run smoothly and scale effectively.
- Work closely with team leaders to clarify weekly delivery expectations, balance workloads, and address over- or under-utilisation before it impacts delivery or client experience.
- Identify and flag projects at risk of going over budget or past deadlines, working with teams to resolve issues early and protect client delivery.
- Document and maintain core operational processes, ensuring they are consistently followed while proactively improving speed, efficiency, and ways of working.
- Provide senior leaders with timely, accurate operational updates, highlighting risks around delivery, capacity, budgets, or deadlines and supporting resolution.
- Ensure operational hygiene across the business, including accurate and timely timesheet submission and task tracking to support reliable planning and decision-making.
- Manage annual leave approvals and capacity planning, ensuring teams are covered and client delivery remains protected during busy periods.
- Own the operational setup for new clients and team members, including ClickUp configuration, onboarding, and offboarding processes.
- Maintain a trusted pool of freelancers to help cover capacity gaps when required.
- Maintain visibility over agency software, subscriptions, and tooling, ensuring systems are well-managed and fit for purpose.
- Track team training and ensure essential training is completed and kept up to date.

- A salary of up to £55,000 per year depending on experience.
