Office Manager (London) – 14 month contract

We are seeking a motivated Office Manager (m/f/d) based in London, supporting our UK Office in all administrative tasks and day‑to‑day operations. The role covers a parental leave cover for 14 months.

Responsibilities
  • Keep the office running smoothly, ensuring equipment maintenance, supply orders, visitor arrangements, courier services, monitoring email accounts, and supervising contracts for telephone and internet services.
  • Manage fleet operations, monitoring all company car related tasks from maintenance to registrations.
  • Coordinate technicians, manage external suppliers, ensure safety compliance and handle environmental registrations as part of facility management.
  • Act as an interface to HR and IT colleagues to support onboarding and offboarding of employees as well as IT‑related topics.
  • Organise events, meetings and travel arrangements; arrange first‑aid training and periodic health examinations in line with health & safety regulations.
  • Use SAP to set up purchase orders and service entries for indirect services within service and business units.
Your profile
  • Completed commercial vocational training or an adequate university degree, ideally with 1‑3 years of professional experience.
  • Willingness to travel regularly between our offices in Aix‑en‑Provence and Paris.
  • Proficiency in common IT applications such as Office 365 and ARIS; experience with SAP 4/ HANA or another ERP system is advantageous.
  • Structured way of working, open and communicative contact person within the team.
  • Flexible and service‑oriented mindset with experience interacting with different cultures.
