A leading services provider in Manchester is seeking a Front of House Coordinator to enhance client experiences. This role involves managing the Front of House function, ensuring exceptional service delivery, and maintaining office presentation. We are looking for an inspirational Front of House Coordinator to support and enhance the client, colleague, and visitor experience in our Manchester office. The Workplace Coordinator plays an integral role in the Workplace team, delivering consistent excellence in service and ensuring our staff, clients and visitors all receive a first-class experience every time.
The role involves responsibility for the Front of House function and working as part of the wider team to ensure a consistent, exceptional service with a focus on a seamless client journey within our Workplace.
Working as a key part of the Workplace team, supporting the business to ensure a smooth and efficient client journey from arrival, through to departure.
Build positive relationships with key client points of contact.
Be responsible for the presentation of dentsu Manchester Front of House, Workplace and services, working closely with service departments to ensure an excellent standard and looking for improvements.
Ensure dentsu Front of House/Workplace procedures, policies and systems are implemented and reviewed to keep visitors safe and secure while within our premises.
Work with dentsu members to keep meeting rooms and Workplace presentable and in working order at all times; maximize the efficiency of these services and support client activity and events.
Manage client visits and meeting room bookings to minimise conflict; this is vital for business success.
Act as the voice of our agencies, connecting clients to the correct individuals in a professional and efficient manner, assisting with telephone and e‑mail enquiries while adhering to company policies.
Assist the Workplace Manager in coordinating all Front of House/Workplace related projects, including updating procedures, manuals and maintaining records.
Support the office and Workplace team with administration, raising purchase orders, and credit card reconciliation.
Support the office's postal services and booking of couriers.
Help the IT team with organising the return of company‑owned IT equipment.
Develop ongoing relationships with the onsite Security team to enhance front‑line resilience and improve the client journey.
Remain embedded with the Central Workplace team, ensuring policies and procedures provide a safe and secure environment for staff and visitors.
Support the Workplace Manager in compiling monthly statistical data on room occupancy, no‑shows, unregistered visitors, and hospitality requests outside policy.
Cover and support the local Workplace team during absences, where necessary.
Contribute and align approaches as part of the dentsu UK&I property and Workplace team.
A supervisory background in front of house, reception, hospitality, or concierge services from a corporate, hotel, high‑end retail or similar background.
A minimum of 3 years’ experience in customer service.
Excellent administrative skills with close attention to detail.
Excellent customer service skills.
Experience with visitor management and room booking systems preferred.
Ability to adapt to cultural and business change, including embracing new technologies.
Ability to communicate effectively across the business.
Willingness to work flexibly in line with business requirements.
A proactive mindset.
