Role Summary

As an Administrative Support Virtual Assistant at FlexiAdmin Solutions, you will play a pivotal role in managing key administrative functions that enable our clients to operate efficiently. This position requires a proactive, highly organized individual who can handle a diverse set of responsibilities, from calendar management to client communications. You will be expected to seamlessly integrate with clients’ workflows, adapt to their specific needs, and maintain a high standard of service with minimal supervision.

This role is suited for candidates who are detail-oriented, have strong communication skills, and are comfortable managing tasks across multiple platforms. Successful candidates will demonstrate an ability to anticipate needs, solve problems effectively, and communicate with clarity and professionalism.

Key Responsibilities

Calendar and Schedule Management
Coordinate, manage, and update appointments, meetings, and events across multiple time zones for clients. Ensure all schedules are conflict-free, and provide reminders and updates on upcoming engagements.

Email Inbox Management
Organize, filter, and respond to emails on behalf of clients, ensuring prompt responses to high-priority communications and timely follow-up. Implement systems to categorize and archive messages for streamlined inbox management.

Document Preparation and Editing
Prepare, format, and proofread documents, presentations, reports, and proposals. Ensure all documentation is accurate, professional, and in alignment with client standards, applying company branding or client templates as needed.

Data Entry and Records Maintenance
Enter and maintain client data within spreadsheets, databases, and CRM systems. Execute regular data audits to ensure accuracy, consistency, and compliance with privacy standards.

Client and Vendor Communications
Act as the liaison between clients and their vendors or partners. Coordinate service requests, manage routine follow-up communications, and maintain a positive, professional rapport with all parties involved.

Research and Information Sourcing
Conduct targeted research on various topics, gathering pertinent information for client projects. Prepare concise summaries, lists, or reports that highlight key insights relevant to clients’ business needs.

Task Management and Follow-Up
Implement systems for tracking and following up on outstanding tasks, ensuring no deadlines or action items are missed. Provide regular status updates to clients on pending tasks and project milestones.

Key Qualifications

Experience:
Minimum of 2 years of professional experience in administrative support, preferably within a virtual or remote role. Prior experience in client-facing environments and familiarity with project management software (e.g., Asana, Trello) is a plus.

Technical Skills:
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace is required. Familiarity with CRM software, cloud storage platforms, and online scheduling tools is beneficial.

Organizational Skills:
Strong attention to detail and proven ability to manage multiple tasks with competing deadlines. Capable of creating efficient workflows and maintaining meticulous records.

Communication:
Excellent written and verbal communication skills, with the ability to convey information clearly, professionally, and concisely. Fluency in English is essential, and bilingualism (particularly in French) is highly advantageous.

Problem Solving:
Demonstrated ability to independently identify solutions to challenges, anticipate client needs, and make decisions confidently within the scope of assigned responsibilities.

Self-Motivation and Accountability:
Ability to manage tasks autonomously, prioritize work effectively, and complete tasks on time. A proactive approach to identifying areas for improvement and a commitment to client satisfaction are essential.
