Overview

Grants and Contracts Administrator (Internal Applicants Only)

Status: Non-Exempt

This position is open only to current employees. External applicants will not be considered

Objective: The Grants and Contracts Administrator is responsible for managing the industry sponsored grants, foundation grants, federal grants/awards, and other contracts for the programmatic compliance aspects of all projects, as well as assisting in the development of proposals and applications for funding. The Grants and Contracts Administrator will work closely with the Principal Investigator (PI) and collaborate with project coordinators in order to ensure that all project proposals and implementation comply with necessary federal or funder requirements.

This position requires the management of an assigned portfolio of complex grants and contracts, using knowledge of grant and contract management rules and regulations, technical expertise, and analytical skills. A high level of integrity and confidentiality is required in this position. This is a full-time position of forty (40) hours per week.

Required Qualifications:

  • Bachelor\'s Degree and 2 years of experience preferred; experience considered in lieu of education.
  • Ability to work independently and manage multiple projects and priorities.
  • Skilled in efficiently working under pressure with changing deadlines and be able to multi-task within a fast-paced environment.
  • Ability to build strong working relationships with individuals from diverse backgrounds.
  • Exercise independent judgement and professional discretion when handling confidential information.
  • Proficient in computer software programs including Work, Excel and Outlook and be willing to learn various websites and portals, as needed, for grant submissions.
  • Able to read, analyze, define problems, collect data and draw valid conclusions.
  • Excellent interpersonal and organizational skills; must be proactive and flexible.
  • Strong verbal and written communication skills and able to communicate with all parties in a professional manner.
  • Ability to provide solutions to meet IMR’s needs.

Responsibilities

Primary Job Duties: The primary job duties of the Grants and Contracts Administrator include, but may be limited to:

  • Assist Investigator and/or research staff with negotiation initialization of research study. Interact with VA Attorneys, Investigators, Federal agencies, Industry Sponsor personnel and other study related staff at IMR, VA, Duke and other institutions in the negotiation of CRADA’s, grants, federal prime and subawards, service agreements, contracts and Confidentiality Agreements. Facilitate the processing of amendments, renewals and any item pertinent to the study.
  • Assist study staff in the development of budgets and budget justifications, reviewing for inconsistencies and ensuring accuracy in the calculations and the application of the most current indirect rate.
  • Processes IPAs and tracks them for the life. Initiates renewal process with relevant PIs.
  • Monitors the study for reporting and/or auditing requirements and produces and submits required documents to the appropriate reporting agencies.
  • Maintains the Active CRADA Listing and the CRADA Registry as required by VA.
  • Creates a Study Information Sheet for administrative processing and assembles the study package for the electronic study file. Maintains electronic files for active, pending, inactive and terminated studies, and relevant documents and/or emails as needed.
  • Creates and maintains a current Pending Project List that is shared with the IMR Administrative Staff for planning purposes.

Managing Stress: Uses healthy and effective methods to manage stress and reacts effectively when faced with high pressure situations.

Supporting Company Goals and Procedures: Actively supports IMR’s goals and values, gives priority to organizational needs and concerns when making decisions, understands and follows IMR’s policies and procedures. Encourages others to follow work rules and calls attention to actions that may violate IMR’s policies and procedures.

Solving Complex Problems: Effective at thinking through complex problems and able to read, analyze, define problems, collect data and draw valid conclusions. Uses traditional and innovative approaches to identify effective solutions and seeks to accept and build off the ideas of others for solutions that may not have been previously considered.

Attentive Listening and Communications: Uses active listening techniques to avoid distractions and shows an interest in what the speaker has to say, is open to other viewpoints and clarifies points of contention, demonstrates patience while listening to others and does not interrupt, and proactively provides appropriate and timely communications to Management.

Serving Principal Investigators and other staff: Has excellent knowledge of IMR’s services and provides necessary support and follow-up to Investigators, VA and Duke staff and any other parties as needed.

Physical Requirements

The physical requirements and activities that are required in order to perform the essential functions of the position include, but may not be limited to, as follows:

Must be able to occasionally lift, pull and push a minimum of 25 lbs.

  • Must be able to stand for extended periods of time.
  • Must be able to sit for extended periods of time.
  • Must be able to squat, kneel, and stoop.
  • Must be able to regularly use fingers, hands for computer work.
  • Must be able to frequently handle stressful situations.

Supervisory Controls: The position of Grants and Contracts Administrator falls under the direct supervision of the Executive Director, IMR. Although incumbent must use initiative, independence and some discretion in performing work, the final decision-making authority lies with the Executive Director.
