About The Role

As part of your role, your key responsibilities will include, but are not limited to:

Key Responsibilities

  • Coordinate all approved quoted works across contract and projects
  • Manage variations, additional works, and small projects from approval through to completion
  • Ensure works are closed out with the correct documentation and evidence

Planning & Resource Coordination

  • Coordinate engineers, subcontractors, and materials for quoted works
  • Liaise with suppliers and subcontractors to confirm availability and lead times
  • Arrange access, permits, RAMS, and site requirements
  • Support forward planning and workload forecasting

Technical & Operational Support

  • Review scopes of works prior to scheduling to ensure clarity
  • Liaise with technical teams to confirm appropriate trades and competencies
  • Support contract and project managers with updates and reporting
  • Identify and escalate risks, delays, or resource constraints

Client & Stakeholder Communication

  • Liaise with clients regarding scheduling and delivery of approved works
  • Provide clear updates on progress, changes, or delays
  • Coordinate communication between site teams, engineers, subcontractors, and suppliers

Systems, Reporting & Administration

  • Raise, manage, and close works via CAFM or project management systems
  • Maintain accurate records for job status, costs, and completion
  • Track backlog, work-in-progress, and completion performance
  • Ensure information supports invoicing, audits, and contract reporting
What are we looking for?
  • Experience within Facilities Management, building services, or construction support
  • Experience coordinating quoted works, variations, or project activities
  • Understanding of FM contracts and approval processes
  • Experience using CAFM or similar systems
  • Strong organisational and communication skills
  • Ability to manage multiple workstreams simultaneously
