Responsibilities
- Process, catalogue and store documents in physical or digital formats, ensuring accessibility and correct filing. Manage the entire lifecycle of documents, including creation, revisions, approvals, distribution and archiving in alignment with project and company standards.
- Ensure all documents adhere to company policies, project requirements and industry regulations; review and audit documentation processes for compliance and efficiency.
- Act as liaison between project teams, departments and external partners to ensure smooth document flow. Coordinate distribution of documents to relevant parties, ensuring up‑to‑date availability.
- Maintain the integrity and confidentiality of project documents, implementing measures to prevent unauthorised access and ensure proper version control.
- Support project teams in using the document management system, providing training and guidance to new members on document control procedures.
- Prepare and maintain reports on document status, distribution and compliance for project management review.
- Generate comprehensive reports on document status, compliance and performance metrics for senior management and analyse processes for improvement.
Qualifications
- 2–5 years experience in document control or information management, preferably within engineering or construction.
- Exposure to project environments and understanding of how documentation supports project lifecycle.
- Familiarity with document control software and database systems.
- Strong organisational and time‑management skills, ability to handle multiple tasks simultaneously.
- Attention to detail and commitment to accuracy.
- Excellent written and verbal communication skills.
- Proficient in MS Office and document management systems.
- Ability to work independently and as part of a team.
- Relevant certifications or specialised training in document management systems or tools (advantageous).
- Diploma or associate degree in Business Administration, Information Management (desirable).
