The Role
The allocations team keep up to date records of property availability, and deal with450 bookings for new tenants including arranging check-in meetings. The allocations team administrator provides support with the administrative tasks related to this, promptly processing new bookings from local authorities onto internal systems, preparing and uploading details of newly available properties as well as a range of other ad‑hoc and regular administration work.
Main Duties & Responsibilities
- Recording all bookings from local authorities ready for the bookings team to plan.
- Following the warning letter and ASB policy and communicating this to tenants.
- Sending out communications to tenants regarding warnings, inspections, vital information.
- Communicating with local authorities on behalf of tenants and providing the correct information to be able to correctly invoice.
- Supplying local authorities with the relevant compliance documents.
- Updating various local authority portals with available properties and bookings.
- Making follow-up calls to all tenants that have been checked in recently.
- Ensuring all bookings on our in‑house system have the correct paperwork uploaded.
- Effectively manage, resolve, and respond to resident, business, and local authority enquiries.
- Providing cover for annual leave as the team requires.
- Add new properties to the in‑house system.
- Ensure the accuracy and consistency of all records and all paperwork filed in the correct folders / scanned.
- Provide timely and high quality written and verbal communications to residents and local authorities.
- Ensure all databases and management software systems are updated promptly and to an excellent standard.
- To comply with S&P policies and to carry out any dutieshone that may reasonably be required considering the main purpose of the post.
Skills & Knowledge
- Strong administration, organizational, prioritization, numerical and attention to detail skills.
- Excellent interpersonal skills, with the ability to communicate effectively and maintain appropriate professional boundaries.
- Ability to work effectively in a high‑pressure environment.
- Proficiency in the use of MS Office including Outlook, Word, & Excel.
- Strong team ethic, with the proven ability to work effectively and collaboratively within a team or independently with individuals at all levels.
