The Role

We’re seeking a skilled Administrator to join our amazing community mental health and addictions service. The service is made up of our Oranga Hinengaro, Te Poutama Tautoko, Mahea and Huwa i te Rangi teams. This role goes beyond the typical reception duties; we're looking for someone who can manage complex administrative tasks with a high degree of professionalism, while also providing a warm and welcoming presence at our front desk.

Skills Required

As our Administrator, you'll play a crucial role in supporting our kaupapa and contributing to the wellbeing of our whānau. Your responsibilities will include:

  • Providing a friendly, welcoming, and professional reception for all staff and visitors.
  • Ensuring that whaiora/client inquiries are appropriately triaged, directed, and satisfactorily concluded.
  • Handling internal and external phone calls and face-to-face inquiries with efficiency and care.
  • Creating and managing patient profiles and client records within our system.
  • Coordinating bookings, outpatient appointments, and other high-level administrative tasks.

What We’re Looking For

To excel in this role, you will have:

  • 3+ years’ experience in a similar health/social services administrative position
  • High level of proficiency in all Microsoft Office programs.
  • Excellent communication skills – written, verbal, and visual.
  • Strong time-management abilities and a great work ethic.
  • Experience working effectively with Māori whānau.
  • The ability to maintain confidentiality and handle sensitive information with discretion
