Jobbeschreibung

We are seeking a highly organized and proactive Office Manager with a strong background in the financial or asset management industry. The ideal candidate will have at least 3 years of experience as a Front Office Manager or Office Administrator within the financial sector.

This role offers a salary range of 20,000 to 22,000 AED.

Key Responsibilities:
  1. Act as the primary point of contact for office operations and coordinate regional communications, meetings, and travel arrangements.
  2. Schedule and manage meetings and appointments.
  3. Maintain an organized office layout and ensure all necessary equipment and supplies are available.
  4. Collaborate with HR to update and implement office policies as needed.
  5. Coordinate with the IT department to manage office equipment and technology needs.
  6. Oversee invoicing, payments, and ensure timely processing.
  7. Manage contracts and negotiate pricing with vendors, service providers, and office leases.
  8. Prepare and manage the office budget, ensuring accurate and timely reporting.
  9. Provide support to visitors and ensure a welcoming office environment.
  10. Assist with onboarding new hires, including visa applications and orientation processes.
  11. Plan and organize in-house or off-site events, such as team celebrations and conferences.
Requirements:
  1. Proven experience (minimum 3 years) as an Office Manager, Front Office Manager, or Administrative Assistant in the financial or asset management industry.
  2. Proficiency in MS Office, particularly Excel and Outlook.
  3. Excellent time management, multitasking, and prioritization skills.
  4. Strong organizational and planning abilities in a fast-paced environment.
  5. Attention to detail and excellent problem-solving skills.
  6. Outstanding written and verbal communication skills.
  7. A creative mindset with the ability to suggest and implement process improvements.
  8. Diploma or university degree in Business Administration, Accounting, or a related field.
  9. Presentable, professional, and pleasant demeanor.
