Base Pay Range

Works Coordinator / Supervisor plays a pivotal role within the Damp & Restoration divisions. Reporting directly to the Operations Manager, you will ensure the seamless management of client inquiries, survey bookings, job scheduling, project delivery and oversee other Coordinators within the department.

Minimum Requirements
  • Minimum of 5 years proven background / experience in scheduling, coordinating and project administration within the property services, construction or facilities management industries.
  • More than 5 years of experience with scheduling/booking of maintenance and repair works/jobs for tradesmen, engineers, surveyors, technicians, subcontractors, etc.; excellent diary management skills required.
  • Construction industry experience – you understand how trades, contractors, and projects flow in practice.
  • At least 2 years of experience in damp, property restoration or roofing experience is preferred.
  • Demonstrated experience managing job bookings and tracking systems (Podio experience preferred but not essential as full training will be provided).
  • Must reside within 1‑hour travel from Fulham, London (SW6 4HH area).
  • Supervisor mindset – comfortable leading a team, holding people accountable, and guiding coordinators with authority and support.
  • Organisation & oversight – thrive on structure, deadlines, and clear reporting.
  • Problem solver – find solutions quickly and keep projects on track.
  • Professional telephone manner with the ability to handle both client inquiries and contractor liaison.
  • Strong organisational skills with exceptional attention to detail and accuracy – manage multiple priorities while maintaining composure.
  • Proficient in Google Workspace and comfortable using CRM or project‑management platforms.
Duties & Responsibilities
  • Oversee & Support Coordinators: guide the Damp and Restoration coordinators to deliver consistently high standards of organisation, client communication, and project flow.
  • Subcontractor oversight: organise, brief, and manage subcontractors, ensuring all works meet EPS Green Standard.
  • Quality control: monitor job progress, verify documentation, and uphold compliance across all stages of damp and restoration projects.
  • Operational liaison: work closely with Operations Managers across divisions to align schedules, resources, and ensure seamless service delivery.
  • Client & contractor communication: maintain professional and confident communication with contractors and clients, ensuring expectations are met and exceeded.
  • Process ownership: drive discipline in reporting systems (Podio/Trade‑Linked), ensuring data accuracy, job tracking, and profitability.
  • Primary point of contact between clients, surveyors, tradespeople, subcontractors, and internal teams.
  • Coordinate Damp, Restoration, and Roofing surveys, ensuring timely delivery of reports to clients.
  • Manage job bookings and tracking systems.
  • Provide regular project updates to clients, manage expectations, track profit margins, issue invoices, and follow up on payments.
  • Ensure tradespeople adhere to schedules, complete jobs efficiently, and upload accurate documentation and photographic evidence.
  • Handle call backs regarding recurring issues and ensure the correct surveyor attends.
  • Ensure compliance with company processes for financial accuracy, safety, and operational efficiency.
  • Facilitate smooth crossover between divisions and internal communications; work closely with Project Manager.
