Overview

Executive Assistant to CEO & CFO. Fixed Term Contract (12 months), Full-time. Start Date Jan/Feb 2026. Salary: up to £55,000 + annual company bonus. Reporting: Chief Executive Officer & Chief Financial Officer - Smollan UK. Working: Monday-Friday, 35 hours per week. Location: Farringdon, London EC1R 3AU.

We’re on the lookout for a highly organised and proactive Executive Assistant to provide comprehensive executive support to our CEO and CFO. This role is a 12-month fixed term contract.

What You’ll Do
  • Proactively manage and optimise the complex calendars and inboxes of the CEO and CFO, resolving conflicts and prioritising executive time.
  • Coordinate all domestic and international travel logistics, including flights, accommodation, visa applications, and comprehensive, detailed itineraries.
  • Draft, edit, and proofread high-level documents, presentations, and internal/external correspondence on behalf of the executives.
  • Prepare detailed meeting agendas and briefing materials, accurately minute sensitive Board, Committee, or leadership team meetings, and manage follow-up actions.
  • Project coordination, tracking progress on strategic initiatives, and ensuring deadlines are met.
  • Manage complex expense reports and assist the CFO with financial administration, budget tracking, and board reporting materials.
  • Build and maintain effective, professional relationships with Board Members, senior stakeholders, clients, and global executives.
  • Handle all information and communication with the utmost discretion, professionalism, and confidentiality.
What You Bring to the Table
  • Proven experience as an Executive Assistant directly supporting multiple C-Suite executives (CEO, CFO, COO, etc.) in a fast-paced corporate environment.
  • Proactive and resourceful with a proven ability to anticipate executive needs and solve complex problems independently.
  • Impeccable communication skills, with a demonstrable ability to draft high-quality, executive-level correspondence and reports.
  • Meticulous organisational skills and an unrelenting attention to detail, even when managing multiple complex and competing priorities.
  • Exceptional professional maturity and the gravitas to interact confidently with Board Members, clients, and global stakeholders.
  • Ability to remain calm under pressure and adapt seamlessly to changing priorities.
  • High proficiency in Google Workspace (Gmail, Docs, Sheets, Slides) or Microsoft (not Smollan primary systems) and digital tools, AI (bonus points!)
  • Team player with a collaborative mindset and a strong work ethic.
  • Bachelor's Degree Or Equivalent Professional Experience Preferred.
