About the role

The Technical Administrator and Document Controller provides critical administrative and documentation support to the Engineering and Project teams. The role ensures technical documentation is prepared, controlled, and delivered in line with customer, project, and regulatory requirements. By maintaining accurate records, supporting technical administration tasks, and collaborating with multiple departments, this role underpins the successful delivery of high-quality fire and gas detection systems across the EMEA region.

The tasks and responsibilities below are typical of the duties the postholder will be expected to perform. It is not necessarily exhaustive and other duties of a similar nature and level may be required from time to time.

Key Responsibilities

Documentation Management

  • Manage and maintain documentation requirements, version control, and storage across commercial projects and FGDS manufacturing activities.
  • Prepare, format, and submit project documentation (drawings, BOMs, manuals, datasheets, and certificates) in accordance with client and project requirements.
  • Ensure all documentation is accurately logged, traceable, and kept up to date within SharePoint and related systems.
  • Coordinate documentation flow between Engineering, Project Management, Manufacturing, and Service teams.
  • Compile and issue final documentation packages to customers and commissioning/service engineers.

Technical Administration

  • Support Engineers by generating and maintaining accurate Bills of Materials (BOMs), routing documentation, and costing sheets.
  • Assist with maintaining standard pricing sheets and supporting internal cost estimates.
  • Create, format, and manage templates for technical documentation to ensure compliance with Dräger standards.
  • Support tender responses and bids by collating technical documentation and administrative content.
  • Provide administrative support during project reviews, kick-off meetings, and Factory Acceptance Tests (FATs), ensuring documentation is available and distributed.

Compliance and Standards

  • Ensure all documentation and records comply with Dräger’s Integrated Management System (IMS), technical standards, and relevant industry regulations.
  • Support export compliance by ensuring required documentation is prepared and reviewed.
  • Maintain awareness of project-specific standards and ensure documentation aligns with requirements.

Cross-Functional Support

  • Work closely with Project Engineers and Draughtspersons to ensure drawings and documents are complete, accurate, and distributed correctly.
  • Liaise with Manufacturing, Purchasing, and Service teams to support system builds, procurement, and commissioning activities with accurate documentation.
  • Provide administrative support to marketing and sales functions by collating technical material for product launches and customer communications.

Continuous Improvement and Reporting

  • Identify opportunities to improve documentation processes and administrative efficiency using Lean principles.
  • Ensure accurate logging of time and project activities for internal tracking and reporting.
  • Contribute to lessons learned processes by maintaining records of documentation or administrative issues.

Safety

  • Maintain safe working practices by following Dräger risk assessments, hazard observations (HazObs), and IMS processes.
  • Ensure all documentation supports safe operation, installation, and maintenance of FGDS equipment.

Reporting Relationships

Manager -Engineering Manager (FGDS)

Size of team/environment -You will be part of a multidisciplinary team of 10, working in close collaboration with colleagues in Project Management, Project Engineering, Manufacturing, Customer Management, and our wider Sales and Service teams. Our offices are modern and professional, spread across two floors with good natural light, air conditioning, and we have a strong emphasis on safety and product quality.

We operate a hybrid working model and offer flexible hours, enabling our teams to balance our project business and customer needs, with individual flexibility. This approach supports collaboration, responsiveness, and a positive working culture.

Your Qualifications

Role Requirements

Education/Qualifications

  • Completed secondary education (e.g., GCSEs, A-Levels, or equivalent).
  • Training or coursework in office administration, document management, or a similar area is an advantage but not required.
  • Willingness to learn new systems and tools.

Related Experience

  • Experience in office administration, document control, or supporting technical teams is beneficial, but not essential for the right candidate.
  • Comfortable working with digital files and records, maintaining document accuracy, and following established processes.
  • Familiarity with Microsoft Office (Word, Excel, PowerPoint), SharePoint, or other document management systems.
  • Awareness of technical drawings or CAD outputs (e.g., AutoCAD, Creo) is a plus, but you do not need to design or edit these files—just manage and process them.
  • Understanding of quality systems such as ISO standards or IMS frameworks is helpful, but not required.
