Job description

We are looking for someone to support the Contracting and Business Development team during a period of maternity leave. We are looking for someone with strong administration and organisational skills to help with our current processes and setting up new digital processes to support our department.

Main duties of the job

The post holder will support the Contact Team in maintaining compliance with statutory requirements around legally binding contracts for services. This will include developing and maintaining robust administrative systems to manage contracts both electronically and in paper format, tracking business cases/bids, contract variations and contract information requests.

Job responsibilities

Main responsibilitiesUse own initiative to establish, maintain and be responsible for robust electronic and paper filing systems for contracts and associated documents.Proactively manage the administrative systems supporting contracting.Support the development of the contracts database in relation to contract filing systems.Establish administrative systems and processes to track business case developments, contract variations, information requests and other associated contract documentation from draft through to final version, ensuring that version control is robustly managed with final versions clearly identifiable.Support the team in arranging and providing administrative support (including taking minutes) to meetings where required.Support the team in responding to formal notices, information requests and other contract related correspondence as required, collating information from a wide range of sources and tracking the documents from development through to submission.Support the team in the collection and collation of information and reports from other departments as required in the main contract, collating information from a wide range of sources and tracking the documents from development through to submission.Cross reference and proofread contract documents as required.

Information Management: (Contracts and Transformation EPMO Database)Operation of the information systems used to assure compliance against statutory requirements.

Other:Contribute to the ongoing development of the department to meet the changing needs of the Trust and responding to the need for development. To develop and maintain a high level of knowledge and expertise in NHS information standards and definitions.Participate in appraisal and personal review and work to achieve agreed set objectives
