Receptionist

LINE MANAGER/ SUPERVISOR: Reception Manager; LOCATION: Allerton Road Medical Centre

Job Purpose: It is the role of the Receptionist to assist the patients in the easiest possible way to see a clinician. To facilitate this the receptionist will ensure that:

  1. Patient enquiries are handled courteously, efficiently and with empathy.
  2. Filing, record keeping, and the distribution of documents are undertaken efficiently and promptly.
  3. Administration tasks are undertaken with due care and attention to details.

Main duties

  • Reception duties: Opens and closes premises punctually as required; Checks in and directs patients appropriately; Takes and records accurate messages; Keeps the appointment book up to date and operates the appointment system as directed; Arranges repeat prescriptions; Aids special needs patients; Liaises with outside organisations; Arrange ambulance transport to hospitals; Arrange interpreters, as required; Directs patients wishing to make a complaint to the appropriate practice procedure.
  • Dealing with telephone queries; Provide cover for reception and administrative staff if required; Maintain office supplies.
  • Admin duties: Opens, distributes and posts mail; Arranges non-routine appointments (secondary care); Register new patients; Return records to the Health Authority; Prepare records for deductions; Maintain age/sex and patient registers and disease index; Scan workflow and distribute information to team; Complete relevant claim forms; Participate in projects or audits as required.
  • Scanning onto electronic patient records.

Person Specification – Essential
  • Skill/Qualification/Experience: GCSE or NVQ Level 2 or equivalent experience; Computer literate including MS Word, Excel, PowerPoint and Outlook.
  • Scope to Act: Ability to follow practice policies and procedures and ensure patient paperwork is accurate and prepared to facilitate the smooth running of the practice and delivery of high quality patient care.
  • Staff Management: Provide information and advice to patients and support colleagues who need help with practice-based tasks in line with established policies and procedures.
  • Budgetary Responsibility: Monitor stock levels and inform line manager when orders are needed.
  • Organisational Skills: Experience of providing support to patients and work colleagues.
  • Knowledge/Capability: Ability to work on own initiative and as part of a team to ensure the smooth running of the reception area in line with policies and procedures.
  • Role Complexity: Experience of working with patients and multi-disciplinary staff, ideally within a healthcare setting.
  • Service Development/Implementation: Follow set work programmes to support practice performance (e.g., run searches and recall programmes).
  • Communication/Influencing: Experience of managing communication with the public and colleagues; able to communicate clearly in person and in writing.
  • Decision Making: Ability to meet daily deadlines and prioritise workload to meet patient needs.
