Job Overview

Job Title: Project Resource Coordinator

Location: Chesterfield, Manchester, Leeds

Salary: £25,000- £30,000 (depending on experience)

Contract Type: Permanent, Full-time

As a Project Resource Coordinator, you will play a critical role in ensuring the effective scheduling, allocation, and utilisation of our Professional Services (PS) team and wider technical resources. This is a fast-paced, people-first role within our PMO, ideal for someone who is highly organised, a strong communicator, and excited about growing their career in project delivery.

You’ll be central to coordinating resource bookings, tracking availability, and supporting the PMO with operational excellence. Alongside this, you’ll gain hands-on exposure to project delivery, offering a clear development pathway into project management.

This is a fantastic opportunity for someone who is ambitious, willing to learn quickly, and eager to become a future Project Manager within Proact.

Key Responsibilities

Resource Coordination

  • Coordinate bookings of Professional Services, Solution Architects, and Operational Engineers.
  • Maintain and continually update Resource Maps.
  • Host weekly resourcing calls with key stakeholders (Head of PS, Presales Manager, PMO).
  • Track and manage 3rd party Professional Services and timebanks.
  • Provide weekly and monthly reporting on resource utilisation, availability, and booked revenue.
  • Support distribution and completion of project documents, including via DocuSign.

Project Delivery Support

  • Create project startup and handover collateral for Project Managers.
  • Assist PMs with project monitoring, updates, and documentation following PMO guidelines.
  • Take ownership of small, resource-coordinated projects where a full-time PM is not required—gaining valuable project delivery experience.
  • Host stakeholder calls, capturing updates and ensuring accurate communication across the PMO.
  • Identify and implement operational efficiencies and improvements in the Resource Coordination and the wider PMO practice.

Pathway into Project Management

As capability grows, responsibilities may expand to include:

  • Managing day-to-day project tasks and maintaining RAID logs.
  • Monitoring project progress and supporting issue/risk resolution.
  • Building detailed project plans and ensuring project documentation is accurate and complete.
  • Supporting customer updates and representing the PMO in internal/external calls.

  • Experience in a resource coordination role (1+ years).
  • Familiarity with project delivery processes.
  • Understanding of business issues affecting project delivery.
Qualifications
  • GCSE English & Maths (Grade C or above, or equivalent) – Essential.
  • Prince2 Foundation – Desirable, but can be supported as part of your development path.
  • ITIL awareness – Advantageous.
