EXECUTIVE ASSISTANT & RMC COORDINATOR - LONDON - 12 MONTH CONTRACT
RED Engineering Design is an international M&E consultancy focusing on low energy design and zero carbon-built environments.
Role Responsibilities
- Provide professional and efficient executive assistant service to the Chief Financial Officer.
- Review all incoming correspondence (primarily emails) and take action on urgent requests and deadlines.
- Follow up on required business items to progress actions and ensure outcomes are achieved.
- Manage and control the CFO’s diary, optimising it, resolving scheduling issues and ensuring sufficient time for priority tasks.
- Coordinate the preparation of agendas, reports, presentations and minutes as required.
- Arrange travel and accommodation for business trips.
- Act as the conduit for communication between the CFO’s department and wider internal teams and external client base.
- Organise off‑site company meetings, sourcing venues and monitoring contracts and budgets.
- Process expense claims, ensuring they adhere to company policy.
- Organise and schedule all RMC/CRM meetings in line with governance and liaise with Tractebel Risk Officer for Go/No Go and CRC meetings.
- Ensure documentation is made available to RMC members ahead of meetings and reschedule if documents are not ready.
- Take notes in RMC meetings, circulate minutes timely and update PM workbook.
- Maintain RED RMC deck and tracker up to date.
- Co‑sec support to General Counsel.
- Manage RED insurance programme renewals in collaboration with ENGIE Insurance, General Counsel and CFO.
- Maintain RED DOA, ensuring changes are approved by Excom when required.
- Maintain banking and statutory information for all legal entities.
- Review RED Commercial Policy annually and keep it up‑to‑date.
- Maintain Finance organogram and SharePoint; deliver finance induction programme.
- Provide one‑off project management support and extensive documentation.
Role Requirements
- Degree qualified.
- Proven Executive Assistant experience at Senior Board level within a consultancy or financial services company.
- 6+ years’ experience at EA level.
- Excellent administrative and organisational support; able to plan and prioritise.
- Work on own initiative with a highly flexible attitude, maintaining confidentiality.
- Work productively under pressure, maintaining a calm and professional approach.
- Good time management and flexibility to meet business needs.
- Strong attention to detail.
- High level of initiative and self‑motivation.
- Great sense of urgency.
- Deep understanding of ethics and compliance requirements.
- Excellent communication skills at all levels with diplomacy and discretion.
- Manage high‑volume workload and deliver to a consistently high standard under pressure.
- Adopt a confident, flexible attitude to competing demands.
- Excellent interpersonal and written communication skills.
- Proficient in Microsoft 365 (Outlook, Word, Excel, PowerPoint, Teams, SharePoint).
- Team player, able to build relationships across individuals.
- Background in consulting or construction preferred.
- Good understanding of international working and business operations of a global consultancy.
- Suitability requires right to live and work in the UK without restrictions; we are unable to offer sponsorship at present.
