Join thebigword as our Executive Assistant for the Chief Operating Officer (COO), where you’ll play a central role in supporting our COO and the wider Senior Leadership Team. This is a key position for someone who thrives in a fast-moving environment and enjoys being at the heart of operational excellence.


You’ll not only manage high-level scheduling, coordination, and organisation for the COO, but also work closely with senior leaders to help ensure business targets are met, company procedures are followed, and key initiatives stay on track. Your ability to anticipate needs, streamline processes, and maintain structure will be essential in keeping our leadership team aligned and focused on delivering results.


Based in our Leeds office on a hybrid basis, you’ll also be a welcoming presence for colleagues and visitors—playing an important role in our day-to-day office operations and ensuring everything runs smoothly behind the scenes.



Your Role in Action

Your role will be a blend of strategic coordination and operational responsibility:



  • Calendar & Inbox Management: Oversee the COO's complex schedule and email correspondence, ensuring efficient time management and prioritisation.

  • Communication & Relationship Management: Serve as the primary liaison between the COO and internal/external stakeholders, handling interactions with discretion and professionalism.

  • Meeting Coordination & Follow-Up: Organise, attend, and document key meetings, ensuring action items are tracked and executed within defined timelines.

  • Project & Task Management: Support Company-led initiatives, research projects, and ad hoc assignments with efficiency and confidentiality.

  • Document Preparation & Reporting: Draft, review, and edit documents, presentations, and reports to support decision-making.

  • Travel & Logistics Coordination: Arrange business travel, accommodations, and transportation for the COO, and where required, the senior team.

  • Event Planning & Execution: Organise corporate events, ensuring flawless execution from start to finish.

  • Office Operations & Support: Assist in maintaining a well-run office environment, ensuring smooth day-to-day operations. Other administrative duties as required.

  • Senior Leadership Assistance: Provide additional support to other senior leaders as needed, contributing to the overall efficiency of the leadership team.
