We are seeking a reliable and highly organised Estimating Admin Assistant to join our team on a fixed-term basis to provide maternity cover.
This role plays a key part in supporting the Estimating Team by ensuring enquiries, quotations and pricing documentation are accurately prepared, clearly organised and issued on time, helping the department run efficiently and professionally.
You will work closely with estimators and suppliers, maintaining strong administration and follow‑up processes that support tender performance and reduce delays.
Key Responsibilities
- Provide administrative support to the Estimating Team, including formatting, saving, issuing and filing quotations and maintaining accurate records.
- Maintain an up‑to‑date Quote / Tender Tracker (Excel), ensuring key deadlines, statuses and next actions are visible and controlled.
- Assist with preparing and organising pricing documents using Excel, including updating rates and supplier cost information.
- Liaise with suppliers and subcontractors to obtain current prices, lead times and product information, chasing information where required to meet deadlines.
- Maintain an organised electronic filing system for live and archived quotations, ensuring documents are easy to find and consistently named.
- Support the estimating process by ensuring all relevant documents are saved correctly (drawings, specs, addendas) and the latest information is being used.
- Track outstanding quotations and deadlines via email and telephone, completing timely follow‑ups and keeping estimators informed of progress.
- Assist with basic take‑offs and measurements from plans (training provided), accurately recording outputs for estimator review (e.g. turf, planting, or paving areas).
- Support communication between estimators and other departments as required, helping keep information moving and avoiding delays.
What We’re Looking For
- Previous experience in an administrative or office support role (construction, landscaping or estimating support is beneficial but not essential).
- Good working knowledge of Microsoft Excel and general computer systems.
- Strong attention to detail with a methodical approach to work, and the ability to work accurately under time pressure.
- Ability to work independently once trained, with excellent organisational skills and a approach.
- Clear written and verbal communication skills, including confidence to speak with suppliers by phone.
- A flexible, helpful attitude and willingness to support a variety of tasks in a busy team environment.
Qualifications & Skills
Formal qualifications are beneficial but not essential. We are primarily looking for someone who is confident using modern office software and digital tools in a professional environment. Ideally, you will have:
- A good standard of general education (e.g. GCSEs or equivalent, including English and Maths).
- Proven competence using Microsoft Office, particularly Excel, Outlook and Word.
- Familiarity with Microsoft Teams and online portals or client systems.
- Confidence using cloud storage, shared drives and online communication tools.
- The ability to learn new systems quickly and work in an organised and efficient manner.
Success Measures
- Enquiries and quotations are logged and filed correctly with clear status updates.
- Quotes are issued accurately and on time with supporting documents saved correctly.
- Supplier pricing information is chased and recorded efficiently to support deadlines.
- The estimating team has better visibility, organisation and follow‑up control.

Hours: Monday to Friday, 10:00am – 3:00pm (hours can be flexible for the right candidate)
Total Hours: 22.5 hours per week
