Job Function

To support the commercial growth of the Fold Hill brand portfolio by providing administration and coordination across ecommerce, customer services, sales support, and marketing/event activities. This role ensures smooth day-to-day operations, excellent customer experience, and effective support for the sales and marketing teams.

Reporting Line

Reporting to the Digital Sales & Marketing Manager, the Commercial Administrator will work closely with the sales and marketing team. In the Digital Sales & Marketing Manager's absence, they may report to the Brand Manager for task prioritisation.

Areas Of Responsibility
Customer Services & Ecommerce Support
  • Manage telephone, email, and live chat enquiries in a timely and professional manner, helping to build strong customer relationships.
  • Investigate and resolve complaints in collaboration with the technical team, aiming for positive customer outcomes.
  • Support subscription customers with creation, amending of subscriptions as well as any cancellation requests.
  • Process online orders, liaise with the warehouse, update product imagery/descriptions, and monitor stock availability.
  • Internet & telephone sales processing.
  • Liaise with our courier services to manage the end-to-end delivery process for customer orders, from pallet collection through to resolving any issues or delays with customer deliveries.
  • Ensure ecommerce websites are kept up to date ensuring any changes to product details are updated accordingly.
Sales Administration
  • Process trade portal (Premier Pet Shop), third-party sales orders, including drop shipping and staff sales.
  • Track and fulfil sample requests, ensuring accurate records are maintained.
  • Monitor product inventory levels, highlighting risks (low stock, seasonal peaks, short-dated stock) and coordinating with the warehouse to ensure fulfilment.
  • Manage open orders, shipments, checking manifest and invoices as well as relevant reporting through X3 (ERP system).
  • Support sales account managers with administrative tasks to ensure smooth account servicing.
Marketing Support
  • Assist with preparation for trade and consumer exhibitions: sourcing materials, ordering show stock, and coordinating logistics with the warehouse.
  • Attend events/shows (occasional weekends required) to represent and promote the brands.
  • Branded sales literature stock & stationery management.
