Job Description

PURPOSE:

Provide assistance and support for the school's administration team for learner groups and academic year groups .

CYFRIFOL I:

Under the guidance of the Senior Leadership Team and accountable to the School Business Manager and Office Manager .

Main Duties and Responsibilities
  • Provide assistance and support in the efficient and effective day to day organisation of academic year groups and associated administrative tasks
  • Assist with the organisation and preparation of materials for events such as Parents Evenings, Open Evenings and Induction Days, including liaising with the IT Manager and their assistant for virtual online sessions
  • Produce attendance figures and behaviour logs as required for the Head of Year and send out letters and maintain an attendance spreadsheet with actions taken
  • Assist with the arrangements for admissions to the school
  • Provide assistance with lockers, including the allocation of keys and banking of deposits
  • Producing and manipulating data and reports as required
  • Under direction, to liaise effectively to ensure that information is shared appropriately
  • Liaise appropriately with form tutors regarding all relevant administrative issues
For Faculty Support
  • Use SIMS and Microsoft Office programmes such as Word, Excel, PowerPoint etc to prepare documents and presentations and to develop and maintain data bases
  • Assist in the development and reproduction of materials for a faculty under the direction the of the Head of Faculty as well as members of the Faculty Management Team when so required
  • To assist in the photocopying, stapling, laminating, and binding of materials
  • Help to keep notice boards up to date
  • Maintain records
  • Take notes and produce minutes of meetings
  • Respond appropriately to telephone and electronic messages
  • Support and assist with the discrete preparation, reproduction, collation and filing of documents
  • Assist in liaising and fostering links with external agencies and various curriculum areas of the school
Other Responsibilities
  • To ensure all duties and responsibilities are discharged in accordance with the school's health and safety at work policy
  • To participate in the school's appraisal scheme, ensuring that performance standards and targets are set and met within the agreed timescale
  • Liaise with and complete work for staff of the school
  • General office duties to include but not limited to answering phone calls and queries, emails, printing, supporting visitors on site, dealing with pupils and parents/carers.
  • To undertake any other reasonable duties as directed.
