Operations Manager and Executive Assistant to the CEO required in Dubai – immediate start.

Overview

We are seeking a highly organized, personable, and efficient Operations Manager and Executive Assistant to provide exceptional support primarily to the CEO of a group of multinational companies, based in our Dubai Office. The successful candidate will play a critical role in coordinating and managing the CEO's hectic schedule, facilitating communication and collaboration, and ensuring the smooth operation of the executive office while leading the operations team to ensure the business is running at optimum capacity at all times.

Key Responsibilities

  1. Act as the primary point of contact between the CEO and internal/external stakeholders, demonstrating professionalism, tact, and discretion in all interactions.
  2. Manage the CEO's complex calendar, travel arrangements, and meeting logistics with precision and attention to detail.
  3. Prepare and edit correspondence, communications, presentations, and other documents on behalf of the CEO, ensuring accurate and polished content.
  4. Coordinate and plan high-profile meetings, events, and special projects, collaborating with various departments and external partners as needed.
  5. Conduct research, compile data, and prepare reports as requested by the CEO, maintaining confidentiality and accuracy at all times.
  6. Act as a liaison between the CEO and senior management, providing support in clarifying directives, ensuring timely follow-up on action items, and monitoring progress on key initiatives.
  7. Anticipate the needs of the CEO and proactively address potential issues to ensure seamless workflow and optimal use of time and resources.
  8. Handle sensitive and confidential information with integrity and discretion, maintaining the highest level of confidentiality.
  9. Manage the Operations team with arranging travel, accommodation, coordinating visas, and generally ensuring smooth deployment of the team on assignments globally.

Qualifications

  1. Excellent command of the English language, with strong written and verbal communication skills.
  2. Proven experience as an executive assistant or in a similar role, supporting high-level executives in a fast-paced environment.
  3. Exceptional organizational and time management abilities, with the capacity to prioritize tasks effectively and multitask efficiently.
  4. Proficiency in Office 365 software, including Word, Excel, and PowerPoint, to produce high-quality documents and presentations.
  5. Strong interpersonal skills and the ability to build relationships with stakeholders at all levels, both inside and outside the organization.
  6. Demonstrated ability to exercise sound judgment, discretion, and diplomacy in handling sensitive or confidential information.
  7. A proactive and self-motivated approach to work, with the capacity to work independently and as part of a team to achieve common goals.
  8. Experience supporting other senior management members with various administrative tasks.
