Job Vacancy: Trainee Dispensary Assistant/Receptionist
Hours: 31.5 hours per week (Mon Fri)
Salary: Band 2 Agenda for Change – £12.51 p/h
We are looking for a motivated and enthusiastic individual to join our friendly Practice team. This is an excellent opportunity for someone who is keen to develop a career in primary care, working and training within both our dispensary and reception teams.

Main duties of the job
What we are looking for: someone with good communication and organisational skills, the ability to work confidentially and accurately with attention to detail, has a positive, caring and professional attitude and the willingness to learn and develop new skills.
The dual role will include: assisting with the preparation and dispensing of prescriptions, providing a high standard of customer service to our patients, carrying out a range of administrative duties including appointment booking, handling queries and maintaining accurate records.

Trainee DISPENSARY ASSISTANT/RECEPTIONIST
RESPONSIBLE TO:

JOB PURPOSE:
Under supervision, you will provide timely, efficient and accurate dispensing of medication to the patients working to the Standard Operating Procedures (SOPs) at all times.
To provide excellent, confidential and professional service to patients and clinical staff, to ensure the smooth running of reception DISPENSARY: MAIN DUTIES AND RESPONSIBILITIES ON COMPLETION OF TRAINING
- Complete dispensary qualification within timescale specified, engaging with supervisors, trainers and Practice and completing modules on time and to a high standard.
- Accurately dispensing and checking medicines for our patient population.
- Collecting prescription charges in line with protocol.
- Maintaining stock levels and supporting reordering processes.
- Receiving and storing supplies, ensuring correct handling and cold-chain compliance.
- Dispensing controlled drugs in accordance with practice policy.
- Safe disposal of returned and out-of-date medication.
- Process repeat prescriptions within timeframe target.
- Providing clear, helpful advice to patients about their prescriptions.
- Managing prescription requests via online systems and face-to-face.
- Supporting monthly dispensary returns.
- Maintaining accurate records and following all Standard Operating Procedures.
- Helping maintain a clean, safe and organised dispensary environment.
- Providing cover for colleagues annual or sick leave.
- Dossett preparation.
- Assist with stock checks and dispensary audits.

RECEPTIONIST MAIN DUTIES ON COMPLETION OF TRAINING:
- Greet patients and visitors/health professionals in a courteous and professional manner.
- Deal with patient and health professional enquiries, as they arise, by phone, electronic communication (text/email) or in person including booking home visits and advising test results within Practice Policy.
- Booking, amending and cancelling patient appointments, ensuring computerised appointment system is up to date.
- Registering of new patients ensuring relevant checks are made. Registration of patients for Patient online services.
- Process requests for repeat prescriptions within a timely manner to include medicines management administration.
- Checking in and entering information of drug deliveries on Emis Web.
- Accessing Out of Hours reports and saving to patient records.
- Upload documents received via electronic download via Docman.
- Dealing with and responding to incoming Practice emails/ electronic consultations within the relevant time scale.
- Distribution of post.
- Email correspondence when requested adhering to GDPR protocols.
- Scanning of patient information, workflow through Docman, and actioning of subsequent tasks.
- Responding to staff/ management/nurse/GP request/tasks during surgery in a timely manner.
- Ensure up-to-date maintenance of both computerised and manual filing systems (i.e. patient notes).
- Ensure consultation rooms are prepared in readiness for the start of each day and checked at the end of the day leaving them tidy and secure.
- General housekeeping within the Practice in order to achieve Health and Safety standards, including making GPs/ nurses/admin staff drinks and filling/emptying dishwasher.
- Open and lock up surgery using Practice opening/closing protocol as required between 0800 and 1830.
- Work safely at all times in accordance with Legislative requirements and Practice Policy and Procedures.

Experience
- Practical experience of working with others
- Experience of using own initiative/multi-tasking
- Experience of excellent customer service
- Practical experience of computerised recording systems
- Experience of working within a General Practice reception environment.
Qualifications
- Good standard of general education
- GCSE Mathematics
- Appropriate qualification in medical reception eg AMSPAR or NVQ in Customer Service.
