The Head of Creative Operations plays an important role in ensuring SoftServe’s Global Brand & Creative Studio delivers exceptional creative work efficiently, consistently, and at scale. This role defines and drives the operational frameworks, processes, and resource systems that enable high-performing creative teams to produce impactful brand, campaign, and content solutions.

Working in partnership with the Global Brand & Creative Director, Director of Marketing Operations, AVP of Marketing, Brand & Marketing Leads, and Marketing stakeholders, the Head of Creative Operations oversees intake, workflow, resourcing (with Project Coordinator), and delivery across the global studio. They set the operational conditions for creativity to excel — from team structure and processes to capacity planning, vendor management, and cross-functional alignment.

The role leads and develops the Creative Operations function, including direct management of the Project Coordinator, ensuring day-to-day workflow tasks, scheduling, and project tracking are executed effectively. This position focuses on strategic oversight, operational optimisation, and building a high-performance culture of clarity, collaboration, and accountability.

Duties & Responsibilities
Operational Leadership & Workflow Governance
  • Leads the operational strategy for the Global Brand & Creative Studio by defining governance models, optimizing workflows, and ensuring seamless end-to-end creative delivery.
  • Oversees daily studio operations by directly managing the Project Coordinator and delegating scheduling, workflow administration, and project coordination tasks.
  • Acts as the primary connection point between marketing stakeholders and creative teams by managing intake, aligning resources, and ensuring clear communication throughout project lifecycles.
Resource, Capacity & Project Planning
  • Leads demand and capacity planning across the creative organization by forecasting workloads, prioritizing briefs, and ensuring efficient allocation of resources.
  • Assigns work to creative team members in partnership with creative leads by evaluating skillsets, availability, and development opportunities.
Operational Systems, Tools & Reporting
  • Establishes and maintains operational tools, dashboards, and reporting mechanisms that provide visibility into workload, timelines, and performance metrics.
  • Manages vendor, freelancer, and production partner workflows by reviewing capabilities, aligning on expectations, and ensuring consistent quality and cost efficiency.
Cross-Functional Collaboration & Stakeholder Management
  • Builds strong relationships with marketing, content, and product teams by anticipating needs, streamlining planning cycles, and improving operational transparency.
  • Facilitates structured communication across stakeholders by aligning on priorities, resolving bottlenecks, and ensuring timely delivery of creative work.
Team Development & Culture Building
  • Supports the professional development and capability-building of operational and production staff— including the Project Coordinator—by providing guidance, training, and growth opportunities.
  • Champions a positive, collaborative, and inclusive team culture by reinforcing shared values, supporting creative talent, and fostering productive working relationships.
  • 6–10 years of experience in creative operations, agency operations, production leadership, or studio management within an in-house creative team or agency environment.
  • Proven experience managing integrated production or creative teams, implementing operational systems, and delivering complex creative projects across brand, digital, and marketing channels.
  • Experience in a creative operations, project management, marketing function, ideally with experience in the technology/B2B field.

  • Creative Operations Leadership: Defines operational strategies and governance models to enable scalable, efficient, and consistent creative delivery.
  • Workflow & Process Design: Builds and enhances systems for intake, prioritisation, resourcing, and delivery across global creative teams.
  • Team Leadership & Development: Leads operational staff, providing coaching, feedback, and professional-growth pathways.
  • Delegation & Oversight: Uses the Project Coordinator effectively for day-to-day tracking and workflow tasks, focusing personally on strategy, planning, and escalation.
  • Stakeholder Management: Maintains strong senior-level relationships across marketing, brand, and business units.
  • Capacity & Resource Management: Forecasts needs, allocates work, and balances workloads across multidisciplinary teams.
  • Commercial Acumen: Makes data-driven decisions around budgets, vendor selection, resource investment, and production costs.
  • Problem-Solving & Crisis Management: Responds quickly, calmly, and effectively to operational challenges and escalations.
  • Digital-First Thinking: Ensures operational frameworks support modern, multi-channel creative production.
Required Skills
  • Strong leadership and communication skills across creative, operational, and business environments.
  • Expertise in project-management and resource-planning tools (e.g. Asana or equivalent)
  • Strong organizational, prioritization, and workflow management skills.
  • Experience with budget oversight, vendor negotiations, and operational reporting.
  • High-level proficiency in English (spoken and written).
  • Manage multiple workstreams in a fast-paced, highly collaborative environment.
