Receptionist role overview

As our Receptionist, you will be the welcoming face and first point of contact for our school community. You will manage front‑of‑house operations, ensure safeguarding protocols for visitors, handle communications and support the smooth running of daily administrative tasks.

We are looking for a professional, organised and compassionate individual who shares our commitment to transforming lives and upholding our trust values. If you are passionate about excellent customer service and efficient administration in a dynamic environment, we would love to hear from you.

Your working hours will be 8.00 am to 4.00 pm Monday to Thursday and 8.00 am to 3.30 pm on a Friday, term time only including INSET days.

Job Description

Reports to: Office Manager

Main Contacts: Visitors, pupils and their parents/carers, Headteacher, school staff, and external services/agencies

Main Purpose of the Role
  • Provide a professional, welcoming first point of contact at the reception desk, ensuring excellent customer service for visitors, families, staff and other stakeholders.
  • Uphold safeguarding protocols for visitors, including sign‑in/out, issuing badges and verifying identification.
  • Manage school communications (telephone, email, post) efficiently and courteously.
  • Deliver high‑quality administrative support to enable smooth daily operations.
Key Responsibilities
Front‑of‑House and Communication
  • Act as a main point of contact for visitors, staff, pupils, parents, carers, outside agencies and other stakeholders, providing advice, information and assistance where possible by email, telephone, ClassDojo or face‑to‑face.
  • Always act professionally.
  • Provide a welcoming environment for all stakeholders.
  • Maintain a tidy and professional reception area.
Safeguarding and Compliance
  • Ensure all visitors comply with safeguarding requirements and site protocols.
  • Maintain visitor logs and produce reports as required.
  • Always maintain complete confidentiality.
  • Be aware of and comply with policies and procedures relating to child protection, safeguarding, health and safety, confidentiality and data protection.
Administration and Records
  • Administer school registration procedures in line with statutory requirements and school policies.
  • Manage incoming/outgoing mail and deliveries; support ordering and stock control (stationery/consumables).
  • Order school lunches and collect payments for lunches.
  • Provide administrative support as directed, including maintenance of records, written and electronic, origination of letters, photocopying, scanning, emails and phone calls.
  • Maintain and update office documentation including the school prospectus, homeschool agreement, school website, displays and other marketing material.
  • Maintain accurate data and records; update systems (e.g., MIS) in line with GDPR.
  • Maintain the ClassDojo system.
  • Prepare documents, letters and simple reports; minute small meetings where required.
Operational Support
  • Support staff with scheduling, room bookings, and staff/visitor communications.
  • Provide first‑aid/medical room assistance (training provided), always following appropriate policies.
General
  • Attend training sessions and complete training as necessary.
  • Respond efficiently and courteously to queries from a wide range of people.
  • Ensure the accuracy and confidentiality of information produced and used by the school.
  • Use initiative and good time‑management skills to organise workload under the supervision of the line manager.

Knowledge and Experience
  • Experience of working in a school / forward‑facing office environment.
  • Experience of using school MIS systems or similar software packages.
  • Knowledge of safeguarding, child protection, GDPR and confidentiality in a school setting.
  • Experience of handling enquiries from/dealing with members of the public.
  • Good knowledge and understanding of administrative procedures.
  • Reception/General administration experience.
  • High level of accuracy.
  • Good functional literacy and numeracy skills.
  • Excellent oral, written and digital communication skills; professional telephone manner.
Education and Training
  • Evidence of continuing professional development.
  • Good standard of general education to include 5 GCSE’s (including Maths and English grade 5 and above).
  • Willingness to undertake training and development as needed.
Skills
