Job summary

A UK-based administrative support company is seeking an individual for the role of administrative support. The successful candidate will provide general administrative support, schedule meetings, and develop efficient filing systems. Candidates should have a Bachelor's degree, excellent communication skills, and the ability to work independently or as part of a team. Responsibilities

  • Provides general administrative support.
  • Schedules meetings and maintains calendars.
  • Develops and maintains efficient filing and tracking system.
  • Prepares meeting agendas and circulates finalized agenda.
  • Provides meeting support managing logistics and overseeing the meeting.
  • Prepares meeting expense vouchers and submits to CBO.
  • Assists with production and assembly of reports and presentations.
  • Performs general office tasks.
  • Works with web-based documentation system.

JOB DETAILS
Job Responsibilities:
  • Provides general administrative support.
  • Schedules meetings and maintains calendars.
  • Develops and maintains efficient filing and tracking system for the projects.
  • Prepares meeting agendas including gathers discussion topics, drafts, and circulates and finalized agenda.
  • Provides meeting support, including the following:
    • Selecting venues including contracting with caterers, audio‑visual teams and transportation
    • Drafting and sending out meeting invitations
    • Managing logistics including arranging travel, lodging and parking.
    • Overseeing the meeting by making sure the meeting room is set‑up correctly, handling unexpected issues and making sure the meeting is running smoothly.
  • Prepares meeting expense vouchers, travel reimbursements and invoices and submits to CBO.
  • Assists with production and assembly of reports, presentations, and meeting materials.
  • Performs general office tasks including photocopying, faxing, phone calls, e‑mail, Federal Express.
  • Works with web‑based documentation system.
  • Other duties as assigned.
