Your mission

We are looking for a Practice Manager to join our team in Blackwell Limited in Belfast. This position is responsible for the overall management of the practice, ensuring its smooth and efficient operation, high standards of service delivery, and a seamless client and patient experience. The Practice Manager will work closely with other Practice Managers, senior leadership, and various stakeholders to maintain a high-performance environment while ensuring adherence to Medmark's policies and procedures. This is a full time permanent position.

Key responsibilities
  • Lead all daily operations, ensuring a smooth, efficient, and safe environment.
  • Manage, mentor, and develop the operations team to foster high performance.
  • Optimise clinical schedules and resources to maximise efficiency.
  • Oversee client billing, patient records, and appointment scheduling with precision.
  • Maintain high standards of customer service and resolve patient inquiries or complaints.
  • Drive continuous improvements in processes and service delivery.
  • Ensure strict compliance with health & safety standards and Blackwell policies.
  • Manage practice supplies, equipment, and stock levels effectively.
  • Recruit, onboard, and train new staff members.
  • Uphold key performance indicators (KPIs) and Service Level Agreements (SLAs).
  • Act as the key contact for clients, stakeholders, and prospective customers.
  • Support clinical teams and assist with quality assurance of medical reports.
  • Facilitate regular reviews with senior leadership and key clients.
  • Champion adherence to data protection and operational best practices.
  • Handle ad-hoc duties to support the ongoing success of the practice.
Your profile
  • Proven experience in a similar role, ideally within a fast-paced office or clinical environment.
  • Strong leadership experience, with the ability to manage, support, and develop a team effectively.
  • Excellent organisational and time management skills, with the ability to multitask and prioritise effectively.
  • High proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), with additional experience in medical practice management software preferred.
  • Strong verbal and written communication skills, with a keen eye for detail and a commitment to clear and concise communication.
  • A customer service mindset with the ability to anticipate client needs and resolve issues promptly and professionally.
  • Ability to think critically, adapt to changing priorities, and offer innovative solutions to operational challenges.
  • Strong team orientation with the ability to collaborate effectively with colleagues at all levels.
  • High emotional intelligence, with a calm, diplomatic approach to managing both staff and client relationships.
