We are looking for a motivated administrator with good admin experience to work within our Admin Inpatient Physiotherapy teams at Southlands/Worthing Hospital/Royal Sussex County Hospital. The post is permanent. This role will be focused on providing a high standard of Physiotherapy admin support, within the Inpatient Physiotherapy service at Worthing Hospital.
You will have excellent opportunities for your own skills development, working within a strong and supportive MDT and alongside an established peer group of Physiotherapy Administrators. This Band 3 position is an excellent opportunity to work within a dynamic, forward looking and innovative department.
Worthing Hospital is in a wonderful location, situated adjacent to the South Downs National Park and the sea and with excellent transport links to London and across Southern England. You will be joining a strong and supportive Physiotherapy team within the top performing University Sussex Hospitals NHS Foundation Trust. To work as part of a team to provide administrative support to the Physiotherapy Team. Ordering equipment/items as required.
To provide the administrative support to the inpatient service, book rooms for meetings, take minutes, organise student and work experience placements, receive and log new out-patient referrals, book appointments, and file and scan notes as needed. Update health roster as needed.
To maintain excellent working relations with the Physio Department and communicate effectively with patients and all levels of staff encountered in the working environment both internal and external.

Communication
1. Maintain good communication with the Physiotherapy team and all other staff in the work environment.
2. Answer all enquiries on the telephone comprehensively, being aware of who to consult according to the needs of the caller.
3. Deal with general enquiries in a professional, appropriate, and sensitive manner, as efficiently as possible, either in person, over the telephone or via email from staff, patients, and the general public, and deciding when to escalate as appropriate.
4. Attend regular team meetings and take minutes at meetings.
5. Communicate information in an easy-to-understand form to patients, carers, and others in a tactful and sensitive manner, persuading and influencing where necessary.
6. Communicate effectively with patients especially those who have significant barriers to understanding such as visual and hearing impairment or language barriers.
7. Communicate with the team in a timely and effective manner and ensure that duties are conducted as requested.
8. Communicate patient information across professions and to external bodies in a secure manner ensuring confidentiality is respected at all times.
9. Post correspondence to other health care professionals as necessary.
10. Liaise with other hospital departments, patients, parents, and GP surgeries in a friendly, professional, and courteous manner.
Service delivery and improvement
1. To be aware of and follow trust policies.
2. Provide comments and feedback on proposals for change of policies and procedures.
3. Assist in maintaining and updating departmental procedures.
4. To highlight concerns regarding the service, to the appropriate person, offering suggestions where possible.
People management and development
1. Work as part of the team to provide a high-quality service.
2. Instruct and support new team members about the administration within the department.
3. Responsible for supervising and managing Band 2 staff within the team and actively record own personal development.
4. Participate in training programmes and attend staff meetings.
5. Responsible for carrying out duties in line with the Trust’s e-rostering processes, including managing rosters, supporting staff allocation, and contributing to effective budget reconciliation and workforce planning.
1. Deal with general enquiries in person, either face to face, over the telephone or via email from staff, patients, and the general public.
2. Organise interpreting services when necessary.
3. Undertake any duties that may be deemed necessary to support the physiotherapy service.
