About the Company

An exciting opportunity has arisen for an experienced Office Manager to join an established creative agency who work with some of the world’s largest film studios. The agency specialises in the adaptation and localisation of theatrical and marketing campaigns, working across all media in multiple territories.

About the Role

The Office Manager will be the main ambassador for the office and be required to carry out duties in a professional, discreet and efficient manner.

Work pattern:

This role will be based full-time 5 days per week in the office.

Hours:

9am - 5.30pm (flexibility for an earlier start)

Responsibilities:

  • Office Management/Maintenance
  • Health & Safety
  • IT support
  • Greeting visitors and maintaining security
  • Managing deliveries, couriers and dealing with post
  • Supplier management; ensuring that office and kitchen supplies and stock is up to date
  • Dealing with maintenance issues – climate control, water taps, coffee machine and printers
  • Main contact for building/facilities management issues
  • Managing all H&S issues including DSEs, Risk Assessments, Fire Marshall and First Aider allocations. Leading wellbeing initiatives with input from the agency’s Mental Health First Aider
  • Providing ad hoc administrative support to the CEO, Operations Director, CTO and HR Manager
  • Ordering IT equipment, installing new software, machine set-ups and providing general on-site IT support
  • Installing phones, setting up desktops and ensuring that equipment runs smoothly
  • Booking travel and supporting logistics for company social events
  • Looking after staff milestones such as birthdays, anniversaries, gifts etc.

Required Skills:

  • Flexible and adaptable
  • Confident working autonomously as well as taking direction
  • Ability to work with staff across all levels, building rapport and tailoring approach
  • Efficient and pro-active with great problem-solving abilities
  • Willingness to take on new tasks and responsibilities
  • Previous experience working in a creative studio/agency environment preferred

This role will suit a professional, articulate individual with excellent project management skills.
