Job description

Gammies Groundcare Forfar (Part of A. M. Phillip) is recruiting for an Office Administrator

Job Type: Maternity cover with the option to continue full-time/part-time

The Role

This role is initially for Maternity cover for our office/sales administrator at our busy Forfar depot, supporting the administrative duties of our sales, parts and service departments, with the option to continue full-time/part-time thereafter. Working days are Monday – Friday with an alternating Saturday morning rota.

Daily responsibilities
  • Reviewing incoming emails, forwarding them to the relevant departments, responding or forwarding documents to our system.
  • Processing, checking, allocating and claiming wholegood bonuses.
  • Processing and filing purchase & parts invoicing.
  • Creating, booking in and charging out wholegoods within our IBCOS system and creating wholegood tags.
  • Registering sold vehicles within the DVLA RAV system as required.
  • Answering incoming telephone calls and transferring to relevant departments.
Weekly responsibilities
  • Monthly wages – Daily recording of staff work times and input into our system.
  • Processing of monthly commissions.
  • Filing of paperwork, including parts and wholegood delivery notes.
  • Monitoring the stocking level of stationery and ordering supplies.

Other administrative duties were required.

  • Knowledge of IBOCS and DVLA RAV System is preferred but not required; training will be provided.
