Duties:

Reports to the Manager of Housing. Performs administrative, clerical, customer service and record-keeping duties within the Housing Division.

Work Performed:

  • Greets public and tenants; provides general information; responds to telephone, in person or electronic inquiries, takes and relays messages to the appropriate person or department; orders office supplies; contact with contractors & suppliers.
  • Performs data entry on automated (YARDI and Property Management) and other systems, including, but not limited to landlord, tenant and property management information, Municipal Property Assessment Data, move-in/move-out records, correspondence, department databases, mailing lists, invoices, purchase orders or work orders, rent arrears, maintenance, tenders, cheques.
  • Photocopies and collates documents for distribution, mailing and filing.
  • Receives and processes rental payments and issues receipts in accordance with established procedures.
  • Responds to tenant maintenance and repair requests and issues work orders.
  • Maintains department record keeping/filing systems according to record retention and disposal system.
  • Receives, verifies and processes all housing invoices, including the issuance of cheques in accordance with established procedures.
  • Prepares and circulates statistical data and other reports in accordance with established procedures.
  • Prepares and processes landlord statements.
  • Distributes incoming mail.
  • Orders office supplies and maintains inventories.
  • Process charges to tenant ledgers.
  • Assists in maintaining a safe work environment.
  • Performs other related duties as assigned.
Qualifications:
  • Community College Diploma (1 year) in Office Administration or Accounting.
  • Minimum 3-6 months related professional experience.

Specialized Skills, Abilities, Training, License, Memberships, or Certifications

  • Ability to use standard and specialized software/electronic operating systems.
  • Knowledge of related provincial legislation, policies and procedures including the Housing Services Act, Residential Tenancies Act, and Municipal policies and procedures, including corporate purchasing policy.
