This roleis responsible for day-to-day financial processing for all schools in the Trust in an efficient and timely manner.Key responsibilities and duties• To provide high quality financial administrative support to the Trust’s Finance Team under the direction of the MATFinance Manager.• Input information into the Trust’s financial system, PSF Financials, in accordance with financial procedures.• Process purchase orders for appropriate equipment and materials accurately within agreed authorisation andtimescales and submit to supplier’s/budget holders.• Actively chase and monitor the goods received notes on the Trust’s finance system against appropriate orders,checking for accuracy against quantity delivered and liaising with members of the school office team to confirm goodsreceipt or resolve any discrepancies.• Monitor outstanding commitments on the finance system to ensure current and valid to assist schools to effectivelyutilise their budgets• Open and distribute any post and highlight any items of importance• Process invoices within the terms stated by the supplier. Ensuring the invoices are checked against purchase orderand goods received notes, ensuring appropriate authorisation and payment in accordance with the agreed proceduresand timescales.• Deal with queries from suppliers, customers, Academy’s and other parties as is necessary, in a professional andefficient manner.• Assist with the preparation of pay lists for authorisation to process payments by BACS following the correctauthorisation process.• Send remittance advice, sales receipts and other necessary communications to suppliers/customers in a timelymanner.• Assist with the receipt of monies brought into the finance department and process for regular banking.• Process staff expense payments and keep appropriate records.• Process credit card purchases preparing a reconciliation monthly and highlighting any abnormalities to the MATFinance ManagerJOB ADVERTISEMENT5• Maintain a detailed record of all non-invoiced income and expenditure• Maintain filing of financial information including scanning of invoices and associated documents and attaching totransactions within IRIS Financials.• Provide support on the recording of trip income and expenditure to ensure accurate records• Assist in the administration of free school meals, to include FSM vouchers when necessary• Assist in the accurate recording of grants and other income as required• Run reports and analysis to support the reporting of Finance team and Trust KPIs• Support the MAT Finance Manager and wider Finance team in all areas of finance as required, to enable them toperform their duties for the Trust.Other duties• To maintain confidentiality at all times in respect of Trust and school-related matters and to prevent disclosure ofconfidential and sensitive information.• Share good financial practice across the Trust• Take responsibility for your own well-being• Participate in appropriate induction programmes to support new staff into finance• Provide excellent support for those members of staff who are new to the Trust environment• Take responsibility for your own career choices and actively seek CPD opportunities.• Participate in appraisal and the achievement of targets set which will be robust and measurable.
