  • Maintain and update invoice trackers and reconciliation files using advanced Excel.
  • Conduct monthly fuel storage audits.

Finance Assistant (Fuel Coordinator)

Job Type: Full-Time, Permanent

We are looking for an experienced Finance Assistant to join our finance team in a fast-paced and growing business.

This is a critical role supporting the day-to-day running of our finance team, with a strong emphasis on Excel reporting, data analysis and process improvement – perfect if you love digging into numbers and making things run smoother and faster.

We're on the lookout for a motivated individual with strong numeracy skills, some finance experience, and a passion for learning and growth.

Key Responsibilities
  • Raise daily purchase orders for fuel suppliers and record all fuel sales accurately on the Insphire platform
  • Generate and issue timely sales invoices and credit notes for fuel deliveries
  • Produce daily confirmed sales reports, customer fuel usage reports and month-end accrual reporting
  • Maintain and update invoice trackers, fuel sales spreadsheets and reconciliation files using advanced Excel
  • Conduct monthly fuel storage audits and ensure managed customers receive correct fuel allocations
  • Support the Accounts Receivable team by chasing outstanding payments related to fuel
  • Continuously improve processes, reporting accuracy and month-end close efficiency
About you
  • Proven experience working in a finance / accounts role
  • Strong Excel skills – confident with Pivot Tables, VLOOKUPs/XLOOKUPs, IF formulas, charts and building management reports
  • A natural problem-solver who loves improving processes and making reporting more efficient
  • Excellent attention to detail and ability to work at pace
  • Great communication skills – comfortable chasing customers professionally
  • A proactive, enthusiastic attitude with a willingness to learn new systems (Sage 200 and Insphire desirable but not essential – we'll train you!).
  • Experience in fuel, aviation, logistics or commodity trading is useful but not essential
