We have an exciting opportunity for a Finance Administrator to join our Private Pay Subscription department, known as MiGuardian. This is an excellent opportunity where you'll work as part of an engaged and motivated team, for a company committed to reward and recognition for a job well done. Livity Life work in partnership with the local authority to supply TEC solutions to support people in their day-to-day life. This TEC service provides the assessment of service users’ care technology needs all the way through to the installation, maintenance and review of technology equipment.
We are seeking a proactive finance administrator to oversee Private Pay subscriptions, ensuring accurate setup and billing, promptly identifying missed payments, and managing debtor activity. This also includes supporting the wider team with finance-related tasks and adhering to best practices outlined by the Financial Conduct Authority.
About the role
- Order input - responsible for inputting orders onto the system(s) efficiently and accurately and managing orders received on the system including manifesting, resourcing and scheduling.
- Ensure all calls received into the service are answered professionally and courteously, and issues logged appropriately.
- To ensure that each telecare referral, funding has been identified and recorded on internal systems appropriately.
- Keeping customer records up to date and attaching new documentation.
- Ensuring the BACS export is accurate and produced within timescales each month for Finance.
- To complete VAT invoicing in a timely manner
- To ensure any BACS failures are administered in a timely manner and contact is made to each payer.
- Create invoices for any debtors and follow up in a timely manner to keep outstanding debts to a satisfactory level.
- To check the monthly monitoring report to ensure that all the correct statuses reflect an accurate representation.
- To follow procedures on telecare processes in line with TSA requirements.
- To process the cancellations and ensure during notification period that equipment has been recovered and financial adjustments have been made and direct debits have been cancelled.
- To support the administration team on new business including conversions from maintained to private pay.
- General – Responsible for helping out in any area of the service as required. Some of this may be as part of the central function’s to support the business. Flexibility is therefore required to ensure that the team remains effective and efficient and to manage and cover for other staff in their absence.
- Administration – Responsible for the daily efficient running of all administrative operational systems within the clerical area of the service. All in line with Livity procedures.
- Support on data required for FCA and VAT audits

Qualifications & Experience
- Computer literate with experience of using MS Office i.e. Outlook, Word and Excel and databases
- Organised with good attention to detail
- Team player, supportive of colleagues
- Able to have conversations with clients when chasing outstanding monies owed
- Ability to multi-task, and work efficiently and accurately under pressure
- Professional, assertive and pleasant manner in dealing with external and internal customers and contacts
- Excellent telephone skills
- Numeracy skills to be able to calculate monies owing to complete direct debit adjustments and invoices
- Experience of working in a credit control environment is desirable
- Experience of working within a busy Customer Service environment is essential
- An understanding on Assistive Technology would be advantageous but not essential

- £18,096 per annum
- 24 hours per week, worked flexibly over 4 days between 09:00 and 17:00, Monday to Friday. Final working pattern to be discussed at interview
