Overview
To aid with our continued growth, we are seeking a highly organised, detail-driven Commercial and Contracts Administrator to support the delivery of UK Ministry of Defence (MoD) contracts. This is a pivotal role within our commercial and operational function, requiring strong commercial awareness, integrity, and experience working in regulated environments.
You will play a key role in managing subcontractor administration, validating invoices, maintaining auditable records, and ensuring compliance with MoD contractual requirements.
Responsibilities
- Act as the primary administrative contact for subcontractors and key suppliers
- Maintain accurate commercial records including contracts, purchase orders, rates, and variations
- Review and validate subcontractor invoices against contractual terms and delivery milestones
- Prepare and issue customer invoices in line with MoD contracts and agreed schedules
- Ensure full compliance with MoD contractual requirements, internal governance standards, and audit obligations, always maintaining clear and auditable records
- Support contract change control, reporting, and month-end financial processes
- Work closely with Operations, Finance, and Project teams to ensure commercial accuracy
Skills and Experience
- Proven experience in a commercial, contracts, or senior administrative role
- Experience managing subcontractors, suppliers, or third-party relationships
- Strong understanding of invoicing and financial accuracy
- Exceptional attention to detail and ability to manage multiple priorities
- Confident written and verbal communication skills
- Proficient in Microsoft Office, particularly Excel
Qualifications (Desirable)
- Experience in defence, military, aerospace, engineering, or regulated sectors
- Familiarity with MoD contracts or government procurement
- Experience working in audit-driven or compliance-focused environments
