Here's the thing:

We're not looking for someone who tolerates detail. We're looking for someone who genuinely thrives on it. Someone who gets a quiet sense of satisfaction from seeing a complex schedule come together or spotting a potential clash three months out and fixing it before anyone else even notices.

For this role that's not quirky – it's essential.

Picture this:

You're stepping into a brand-new role, purpose-built around coordination, planning and proactive problem-solving. You'll be the linchpin – the central point connecting trainees, managers, training providers, audit scheduling and firm-wide training across the entire business.

Your purpose? To make sure our trainees have a genuinely positive experience as they navigate one of the biggest steps in their early careers (qualifying as chartered accountants) while also keeping training running smoothly for qualified staff across the firm. here's what makes this role truly rewarding: you'll watch individuals you've supported qualify, knowing you played a pivotal role in their journey from nervous school leaver or graduate to qualified chartered accountant.

You'll be the person doing regular check-ins with trainees to make sure they're coping, balancing work and study, and staying on track. The person who plans training timetables a year in advance, communicates them across the firm, and makes sure audit planning doesn't clash with exam season. And the person who ensures nothing (absolutely nothing) falls through the cracks.

What you'll actually be doing:

Early Careers Coordination (a large proportion of the role):

  • Acting as the first point of contact for 23+ trainees across ACA, CFAB and ACCA pathways – from school leavers straight out of A-Levels to graduates starting their accountancy careers.
  • Coordinating onboarding for new trainees, including apprenticeship registration, tracking milestones and ensuring compliance with funding and End-Point Assessment (EPA) requirements.
  • Running regular check-ins with trainees to make sure they're balancing work and study effectively, have what they need, and are prepared for upcoming exams.
  • Working closely with First Intuition (our training provider) and their relationship manager to plan study and exam timetables a year in advance – locking in training dates, exam windows and study leave, then cross-referencing against our resource management and planning system (FLOAT) to flag conflicts early and communicate changes firm-wide.
  • Organising 12-weekly review meetings between trainees, managers and mentors, plus six-monthly ICAEW sessions with our Training Partner – this will include coordinating busy diaries to make sure these happen!
  • Supporting manager mentors (who each oversee 3 to 5 trainees) by keeping them updated on framework requirements, preparing meeting packs and coordinating their schedules so nothing gets missed in busy periods.
  • Keeping incredibly detailed trackers up to date, interpreting monthly progress reports, and spotting early warning signs when someone's falling behind or struggling.
  • Being the first point of contact on exam results day, keeping an eye on outcomes and coordinating follow-up processes, including arranging meetings and supporting trainees if exams don't go to plan.
  • Working closely with the People Team, escalating any wellbeing, performance or personal concerns flagged during check-ins, so the right support can be put in place.

Firm-Wide Training Coordination:

  • Coordinating training and CPD across the firm – booking courses, managing attendance, liaising with training providers and keeping records up to date.
  • Making sure mandatory and technical training actually happens, chasing attendance and ensuring compliance.
  • Part of your role will be helping the firm increase training activity, so you'll have scope to identify opportunities and build this out over time.

In practice, this means:

You'll be working with PeopleHR, advanced Excel trackers (already built, but you'll be encouraged to improve them), ICAEW and First Intuition platforms, plus audit planning tools like Float. You'll be coordinating around 10 to 12 manager mentors and managing trackers for 23+ trainees across three qualification pathways.

The role has natural peaks around exam periods, onboarding new trainees (typically January and August), and results cycles, when check-ins, resits and coordination intensify. Outside those windows, you'll focus on year-ahead planning, apprenticeship compliance and firm-wide training coordination.

Although you report into our Head of People & Talent and will work day-to-day primarily with our Audit Training Partner and the wider Audit cohort. You’ll operate with a high level of autonomy, using professional judgement to prioritise activity, identify risks early and determine when issues need to be escalated.

This role will suit you if:
  • You're naturally organised and genuinely enjoy managing complex schedules and multiple moving parts.
  • You can think a year ahead, planning training timetables, anticipating clashes and communicating clearly so everyone knows what's coming.
  • You're calm under pressure and can prioritise on the fly when things get busy (which they will).
  • You care about people – you want trainees to succeed, and you'll notice when someone's not quite themselves or needs a bit of extra support.
  • You know when to step in, when to listen, and when to escalate to the People Team, and you're comfortable holding that boundary.
  • You're comfortable using systems, building trackers and making Excel work for you.
  • You like being the person people can rely on – the steady, organised presence that makes everything run smoothly.

What you'll need:

  • Demonstrable experience coordinating early careers, apprenticeships or professional training within a professional services or practice environment.
  • Exceptional organisational skills and strong prioritisation – you'll be juggling a lot, but nothing that can't be handled with brilliant organisation and planning skills.
  • Excellent written and verbal communication – you'll be coordinating with training providers, managers, trainees and the People Team, often about sensitive or important matters.
  • High attention to detail, particularly around training records, trackers, compliance, apprenticeship paperwork and audit-aligned schedules.
  • Confidence using HR systems, advanced Excel and training platforms.
  • The ability to support people through difficult moments with empathy and professionalism, while maintaining clear boundaries and knowing when to escalate.

It would be great if you also have:

  • Experience in an LLP, partnership or accountancy practice.
  • Familiarity with ACA, CFAB or ACCA pathways, or experience liaising with training providers like First Intuition.
  • Exposure to ICAEW systems and progress tracking.
  • Experience with apprenticeship registration, tracking and compliance paperwork, including End-Point Assessment (EPA) requirements.
  • An interest in mental health and wellbeing, or you're a Mental Health First Aider.
