Qualifications

  • Previous experience in Administration.
  • Proficiency in Microsoft Word and Excel for reporting and data management.
  • Experience using IBM Maximo or a comparable CAFM system is strongly desirable.
  • Strong organizational skills, excellent attention to detail, and the ability to manage multiple priorities.

Responsibilities

  • Create, manage, and close Planned Preventive Maintenance tasks.
  • Use CAFM software to manage work orders and schedules.
  • Develop and maintain task schedules in line with SFG20 standards.
  • Provide day-to-day support to CAFM system users.
  • Gather requirements for system improvements.
  • Maintain accurate records and produce reports.
  • Support the Helpdesk Team and assist the Site Manager.
  • Take minutes for meetings as required.

Location: RAF Menwith Hill (100% office based)

Working Hours: 37.5 hours per week, Monday to Friday (8:00AM-4:30PM)

Salary: £27,500.00 per year

We are seeking an experienced and highly organised CAFM Administrator to join our facilities management team and play a vital role in keeping our operations running smoothly. This is an excellent opportunity for someone who enjoys working at the centre of a busy environment, supporting multiple stakeholders and ensuring systems, processes, and performance targets are consistently achieved.

Responsibilities
  • Create, manage, and close Planned Preventive Maintenance tasks as well as reactive and remedial work orders.
  • Use CAFM software to manage work orders, schedules, and resources (IBM Maximo experience highly advantageous).
  • Develop and maintain task schedules in line with SFG20 standards to ensure compliance and operational efficiency.
  • Provide day-to-day support to CAFM system users; respond to queries and resolve issues.
  • Gather requirements for system improvements and ensure workflows remain efficient and effective.
  • Maintain accurate records within the CAFM system and produce clear and reliable reports on task progress, asset status, and compliance.
  • Support the Helpdesk Team and assist the Site Manager with weekly and monthly reports; work with Technical Services Managers to meet performance targets.
  • Take minutes for meetings as required and ensure actions are captured and followed up.
Qualifications
  • Previous experience in Administration.
  • Proficiency in Microsoft Word and Excel for reporting and data management.
  • Experience using IBM Maximo or a comparable CAFM system is strongly desirable.
  • Strong organizational skills, excellent attention to detail, and the ability to manage multiple priorities.
