A leading healthcare provider in Gateshead is seeking a highly organized individual for a secretarial role. The successful candidate will manage medical records requests, requiring excellent time management and customer service skills. Familiarity with Information Rights legislation is essential. Responsibilities include validating applications, liaising with various stakeholders, and maintaining logs of requests. The role offers a supportive working environment with numerous staff networks focused on health and wellbeing.
We are looking to recruit a highly organised individual with excellent secretarial and customer services skills. Working to tight legally binding deadlines you must have excellent time management skills and a methodical approach to your work. You should be familiar with, and have a practical understanding of, Information Rights legislation and its application. The role is demanding and you should be able to manage conflicting demands effectively using tact, diplomacy and empathy.
The post holder will be the first point of contact for applicants enquiring about access to Trust medical records. You will be responsible for validating initial applications, requesting further information/documentation as and when necessary. On a daily basis you will liaise with professionals, external bodies, members of the public, police, local authority and government departments. You will maintain a log of all requests, both live and finalised, updating the information as they progress from application to completion.

The post holder will receive and validate initial applications via email or post. You will check each request, and any associated paperwork , for authenticity determining if the request meets the required legal standard. You will be expected to manage the records disclosure log adding and updating information for each request. You will monitor and manage the Trust SAR email inbox , responding to initial enquiries advising individuals on application requirements and the progress of validated requests.
This post is subject to the Rehabilitation of Offenders Act (Exceptions Order) 1975 and as such it will be necessary for a submission for Disclosure to be made to the Disclosure and Barring Service (formerly known as CRB) to check for any previous criminal convictions.
