Business Support Assistant FTC (6‑9 month) – Wigan (Hybrid)

Role Overview

ArrowXL is looking for a Business Support Assistant to manage purchase orders, reconcile timesheets, invoices and purchase orders, and assist senior leadership with scheduling, document preparation and internal coordination.

Responsibilities
  • Raise and track Purchase Orders (POs) using Oracle ERP system, ensuring compliance with company policies and budget controls.
  • Monitor PO status, resolve discrepancies, and coordinate with finance and procurement teams to ensure timely processing.
  • Reconcile agency workers’ timesheets with associated purchase orders and invoices to identify and resolve discrepancies.
  • Process expenses as requested.
  • Manage complex calendars across multiple time zones, prioritising commitments and resolving scheduling conflicts.
  • Prepare briefing materials, presentations and correspondence for meetings and engagements.
  • Screen and prioritise communications (emails, calls, messages), replying on behalf of the executive when appropriate.
  • Coordinate with internal teams and external stakeholders on the executive’s behalf.
  • Act as a gatekeeper, managing access to the executive’s time.
  • Plan and coordinate events, dinners and social engagements.
  • Manage gift selection and acknowledgements for business.
  • Arrange domestic and international travel details, including flights, accommodation and itineraries.
  • Ensure administrative coverage, considering non‑working days and annual leave.
  • Maintain confidential records and handle sensitive information with discretion.
  • Manage subscriptions, memberships and renewals.
Qualifications
  • Proficiency in Oracle ERP systems, with hands‑on experience in raising and managing POs.
  • Experience reconciling timesheets, invoices and purchase orders.
  • Proven experience as an Executive Assistant or in a similar role supporting senior leadership.
  • Strong organisational and multi‑tasking skills with meticulous attention to detail.
  • Excellent written and verbal communication skills.
  • Ability to work independently and manage confidential information with integrity.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
