Job summary

A key public service provider in Belfast is seeking a Front-of-House Operations Manager to oversee reception activities and ensure a smooth office environment. You will manage visitor access and coordinate daily operational tasks. The ideal candidate will have proven experience in reception management, excellent organisational skills, and a strong understanding of GDPR. This position offers an annual salary of £25-29K depending on experience, and includes 40 days of annual leave.

Job description

Do you excel in creating a welcoming, well‑run, and secure workplace? This role offers the opportunity to lead front‑of‑house operations, support smooth day‑to‑day office functioning, and play a key part in ensuring a safe, organised, and professional environment for staff and visitors.

The role
  • Manage reception operations, including visitor/contractor access, temporary passes, and handling mail, calls, and intercom queries.
  • Maintain the reception area and stationery supplies.
  • Coordinate meeting room bookings and ensure rooms remain tidy and prepared.
  • Report facilities, cleaning, maintenance, security, and H&S issues through daily/weekly checks.
  • Escort visitors and support security procedures, including alarm setting/unsetting.
  • Manage SharePoint site access and support data security improvements.
  • Support records management processes, including retention, GDPR/FOI responses, and staff training.
The Person

As the successful candidate you will have the following background and experience:

Essential
  • Proven experience managing reception operations and visitor/contractor access.
  • Excellent organisational skills and strong attention to detail.
  • Competence in information governance, GDPR, and digital systems (e.g., SharePoint).

This position will be subject to a Basic Access NI check.
