Position Summary & Key Responsibilities:

Collaborate with Logistics Team Leader, supporting internal and external clients and couriers to ensure accurate and timely delivery of clinical trial products.

  • Import Process: Review documents and provide clearance instructions to customs for incoming shipments
  • Export Process: Raise required documents for all exports
  • Accurately enter shipment details into courier ERP for flawless collection and delivery
  • Ensure all relevant order-related paperwork is filed to maintain Authorized Economic Operator (AEO) status
  • Pro-actively handle client inquiries and issues
  • Track pro-forma invoices for approval and arrange shipping
  • Apply for Certificates of Origin with the Local Chamber of Commerce
  • Raise and review Controlled Drug License applications for approval
  • Coordinate with couriers to arrange shipments
  • Collaborate with internal departments to ensure timely completion of orders
  • Participate in cross-functional business process improvement activities
  • Provide cross-training for staff as requested
  • Apply Good Manufacturing Principles in all areas
  • Deliver Logistics Right First Time (RFT) and Timely In-Full (OTIF) metrics

Preferred Qualifications/Experience
  • Knowledge of GMP requirements and experience in a GMP facility (highly desirable but not crucial)
  • Experience in an operational environment
  • Proficient with electronic and automated equipment
  • Proficient in Microsoft Excel and Word
  • Strong planning and organizational skills
  • General administrative duties (filing, photocopying, office housekeeping)
  • Ability to guide and mentor effectively
  • High level of accuracy and attention to detail
  • Ensure compliance with cGMP and Quality Systems in line with business needs
