Project Admin Support (Fire & Security)

We are looking for a Project Administration Support professional to assist our Fire & Security Estimating and Projects function within our client’s growing team. In this role, you will support the coordination and administration of Fire Detection, Intruder Alarm, Access Control, CCTV and Accessible Alarm System projects for a wide range of clients.

You will play a key role in supporting project workflows—helping prepare project documentation, coordinating supplier information, updating project systems, and ensuring enquiries and deliverables are handled professionally, accurately and within agreed timescales.

This opportunity is ideal for Administrators or Senior Administrators with experience in construction, building services or project environments, Project Assistants/Coordinators, Junior Estimators, or those looking to develop into a project support role within a technical field.

Full training, ongoing support, and a structured development path will be provided, with clear opportunities for progression into project coordination or estimating as your skills grow.

Job Details Working Week: Monday to Friday
Working Hours: 08:30am – 5:00pm (30m unpaid lunch)
Hourly Rate: £12.60ph – £14.00ph
Duration: Temp to Perm (Between 12–15 weeks)

Key Responsibilities
  • Provide administrative and coordination support across the Fire & Security project and estimating functions.
  • Assist in the preparation and formatting of project documentation including quotations, proposals, design packs and technical specifications.
  • Work with suppliers to obtain accurate product information, lead times and pricing to support project planning and estimating.
  • Maintain and update internal project management and CRM systems, ensuring all project data, enquiries and documentation are accurately recorded.
  • Support communication between internal teams, clients and suppliers by following up enquiries, managing updates, and ensuring timely flow of information.
  • Assist in preparing and issuing contract documentation for awarded projects, ensuring all relevant project details are captured.
  • Create, compile and maintain Operations & Maintenance Manuals for completed installations to support project handover.
  • Liaise with suppliers regarding deliveries, returns and product queries to ensure project timelines are met.
  • Respond promptly and professionally to enquiries from customers, contractors and partners.
  • Support the Senior Estimator, Project Manager and Purchasing functions in managing supplier relationships and project workflows.
  • Ensure all tasks are delivered with accuracy, attention to detail and a proactive approach to supporting project delivery.
About You
  • Excellent communication, organisation and coordination skills.
  • Strong attention to detail with the ability to manage multiple tasks within a fast-paced project environment.
  • Commercial awareness and an understanding of how project costs, timelines and resources interact.
  • Experience within fire & security, construction, engineering or project administration is beneficial but not essential.
  • Junior Estimators, Project Assistants or Senior Administrators with transferable skills are encouraged to apply.
  • Knowledge of BS 5839 or BS 8629 is advantageous but not essential.
  • Motivated, proactive and keen to develop within a supportive, growing business.

Salary: £12.60 – £14/hour
