Position Overview

Position: PA / Office Admin

Location: London Office (Holborn). In Office required, not a remote position

Schedule: Full time (Mon - Fri, 8 am to 4:30 pm)

Salary: Starting from £32,000 PA

In this dynamic role, you will assist senior leadership and other stakeholders with scheduling, travel, and day‑to‑day operations, while also handling tasks that enhance productivity and maintain an organised, positive workspace.

The ideal candidate will have previous PA experience, be able to hit the ground running and be extremely organised and confident, with a willingness to learn and aspiring to become an Executive Assistant (EA).

Key Responsibilities
  • Provide support to multiple stakeholders: Manage calendars, schedule meetings, and coordinate travel arrangements to ensure smooth day‑to‑day operations for key team members.
  • Act as the central point of contact: Handle internal and external communications, manage inquiries, and coordinate appointments in a professional and timely manner.
  • Oversee day‑to‑day office operations: Maintain a clean, organised, and fully stocked office environment, supporting a productive workspace for the whole team.
  • Liaise with suppliers and service providers: Coordinate with vendors to manage office supplies, IT services, and any facility‑related needs.
  • Organise team events and meetings: Support the planning and execution of meetings, team socials, and special events including logistics, catering, and set‑up.
  • Assist with general admin and documentation: Handle record‑keeping, data entry, and ad‑hoc administrative tasks to help streamline team processes and improve efficiency.
  • Support employee onboarding: Help welcome new team members by preparing workspaces, materials, and ensuring a smooth and friendly start.
Frequent Travel Expectations

Although the job is primarily based in Central London, candidates must have the flexibility for both international travel and on‑site work commitments. Travel may be required regularly, overnight, and on short notice for industry events, client meetings, as well as potential extended periods working from our West London warehouse.

Team Collaboration & Flexibility

As part of a small and dynamic team, there will be occasional opportunities to assist with activities outside of core responsibilities, such as helping with store openings, supporting team events, or assisting with ad‑hoc projects. While these tasks are optional, we really value a collaborative spirit and the willingness to step in and support each other when needed.

Who Are We Looking For
  • Proven experience as a Personal Assistant, Office Coordinator, or similar administrative role, ideally within a fast‑paced environment.
  • Strong organisational and multitasking skills, with a proactive and problem‑solving mindset.
  • Excellent written and verbal communication skills.
  • Professionalism and discretion, especially when handling confidential information.
  • Ability to work autonomously and collaborate effectively with various team members.
  • Proficiency with Microsoft Office Suite, Google Workspace, and calendar management tools.
  • A genuine interest in Korean beauty and Skincare.
