Office Coordinator – Join CATS Global Schools
Role Overview
This full‑time role is based in our head office in Cambridge, UK. The Office Coordinator manages the operational functions of the head office, ensuring smooth and effective day‑to‑day support activities.
Main Responsibilities
- Manage the HQ reception desk: visitors, contractors, couriers, post, deliveries and incoming/outgoing mail; handle head office phone.
- Produce Salto access cards for new starters and disable leavers’ cards.
- Monitor and record office expenditure, including stationery and printer paper.
- Lead on and support HQ initiatives and events such as wellbeing days, Christmas events, birthdays, cards/flowers, etc.
- Maintain meeting room calendars; order refreshments/snacks as directed.
- Arrange and coordinate testing for office equipment (e.g., PAT testing).
- Support the HR team with duties as directed.
- Act as first‑line responder for all office‑related queries from employees.
- Ensure data handling complies with the company’s data protection policy.
- Liaise with third parties to manage facilities and maintenance.
- Arrange Health and Safety inductions and DSE assessments for new staff.
- Manage head office operational contracts and purchases (water coolers, office plants, kitchen supplies, furniture, coffee machine, etc.).
- Manage head office taxi accounts.
- Serve as Health and Safety representative for the head office.
- Undertake Fire Marshal and First Aid training; act as principal Fire Warden and First Aider.
- Act as key holder with responsibility for building security.
- Uphold fire alarm test records and arrange quarterly fire evacuation drills.
- Support line managers with onboarding duties.
Person Specification
Experience
- Experience working in a global education business – desirable.
- Experience managing a cross‑functional office – desirable.
- Understanding of core business functions and their interactions.
- Ability to manage multiple projects simultaneously.
Skills
- Strong administrative skills; manage busy workload, prioritise and meet tight deadlines.
- Professionalism and excellent customer service skills.
- Strong written and spoken English.
- Attention to detail, cultural awareness and sensitivity.
- Proficient in Microsoft Office.
