Are you looking for an exciting, evolving role within the established friendly admin team in Ashford and St Peters Maternity department?

The role will be based on the labour ward and covering maternity triage. The Maternity Ward Administrator will often be the first point of contact for all visitors and patients to maternity triage and labour ward. A smart professional appearance is essential, along with a friendly approach.

Responsibilities
  • Act as first point of contact for all patients and visitors attending Triage/Labour Ward, Joan Booker Ward.
  • Provide a comprehensive administrative support service to the Maternity Triage/Labour Ward, Joan Booker Ward, Reception and community clinicians and service users.
  • Complete all relevant patient filing and tracking.
  • Be expected to organise workload to ensure that an efficient service is provided.
  • Liaise with other departments, for example ultrasound, facilities, and clinical ward areas.
  • Carry out duties in such a way as to make a direct and positive contribution to the department.
  • Always maintain confidentiality and work within the Trust’s GDPR policy.
  • Communicate with patients using all communication skills, escalating appropriately any concerns as instructed by consultants/registrars.
  • Provide excellent communication and information for patients in all forms.
  • Handle all correspondence with patients, telephone and face‑to‑face enquiries from patients and relatives, analyzing and resolving patient problems.
  • Maintain detailed records in Cerner and seek advice when information is not evident.
  • Ensure quality and integrity of information concerning patients kept on Cerner and other patient information systems.
  • Reduce and amend clinic appointments according to requests, ensuring correct utilisation of appointment slots.
  • Monitor outpatient appointments daily, escalating under‑ or over‑booking issues to the Ward Manager.
  • Complete mandatory and statutory training appropriate to the role and personal development.
  • Support and train new members of the team and keep them updated with changes to the booking procedure.

Communication
  • All patient communication, telephone and face‑to‑face enquiries from patients and relatives, analyzing and resolving patient problems.
  • Escalating appropriate concerns following consultant/registrar instructions.
Management of Information
  • Record clinical and non‑clinical patient information correctly onto Cerner.
  • Maintain quality and integrity of patient information systems.
  • Adhere to principles of patient confidentiality, data protection and safeguarding.
Training and Development
  • Complete any mandatory and statutory training appropriate to the role.
  • Support and train new members of the team, keeping them updated with changes to the booking procedure.
