This is what you will do

The Payroll & HR Coordinator plays a vital role in the efficient administration of payroll and human resources activities. Working closely with the HR, Finance, and external payroll provider (ADP), this role is responsible for accurate data entry, maintaining employee records and supporting finance operations through SAP. Strong planning and organisational skills are essential, along with proficiency in Microsoft Office. The role requires the ability to work with accuracy, maintain confidentiality, and demonstrate professionalism when handling sensitive information.

You will be responsible for

Payroll Administration

  • Serve as the primary point of contact for the third‑party payroll provider (ADP) managing all payroll processing tasks.
  • Enter and maintain all employee data in the ADP system, including starters, leavers, contractual changes, permanent and temporary pay adjustments including bonus data, salary review changes, and other non‑standard payments.
  • Investigate and resolve payroll discrepancies by liaising with ADP and employees.
  • Review and verify payroll data with ADP prior to final authorisations and monthly submission.
  • Support audits by providing required payroll documentation and reports.
  • Prepare any payroll reports and assist with financial reconciliations.
  • Conduct data audits within the HR Global system (C‑People) to ensure accurate and complete data transfer from the ADP system.
  • Record, track, and maintain absence data to ensure payroll accuracy.
  • Monitor occupational sick esimerkiksi levels in the system, produce monthly reports, and escalate trigger points to HRBP’s.
  • Maintain accurate employee records on all benefits platforms including new enrolments, changes, and terminations.
  • Monitor benefit in kind deductions and ensure they are accurately reflected in payroll.
  • Assist the HRBP with annual benefits renewal and enrolment cycles, helping to coordinate timelines, prepare communication materials, and ensure all employee selections are captured correctly.
  • Maintain the Reward and Recognition system with updates to starters, leavers and manage the perk and financial budget allocations.
  • Process HR related invoices in SAP ensuring correct coding, cost allocation, and timely purchase order creation.
  • Track outstanding invoices and follow up with suppliers, managers, or Finance as to resolve issues.
  • Support Finance with reconciliations and provide necessary documentation and reports.

Fleet Coordination

  • Working with third party suppliers to organise company fleet, managing fines, system updates, invoices etc.
  • Payroll co‑ordination of fleet changes etc.
  • Liaising with third party suppliers to answer colleague queries.
  • Management of driver training system.
