About The Role

As a Financial Planning Administrator, you will play a pivotal role in supporting the financial planning team to deliver a seamless client experience. The role involves providing comprehensive administrative assistance, ensuring the smooth and efficient processing of client requirements. You will manage new business submissions, carry out fund switches, process claims, and liaise with platforms and providers to complete client applications and service requests promptly.

Key duties include inputting and maintaining client data, ensuring records are accurate and up to date, and handling general administrative support, such as helping with meeting preparation and responding to client inquiries.

The role requires working from the office for a minimum of three days per week and may be based in any of our regional offices, including Cheltenham, Cardiff, Liverpool, Darlington, Fareham or Harrogate.

About The You

You are a detail‑oriented and highly organised professional with a strong background in financial planning administration. Your proven experience in supporting financial advisors, managing client information, and ensuring data integrity allows you to excel in maintaining accurate client records, processing updates, and handling onboarding and off‑boarding tasks. You are proficient with CRM systems, prioritise clear communication, and adhere to service level agreements.

With excellent time‑management skills, you thrive under pressure and take initiative to review workflows, optimise processes, and support colleagues to ensure smooth departmental operations. You demonstrate excellent interpersonal skills and a commitment to professionalism, discretion, and ethical conduct.

Key Responsibilities Include
  • The accurate processing of all New Business Submissions, working with platforms and providers to ensure client applications and requests are concluded.
  • Input and maintain new business data in client management systems in a timely manner so that client records are accurate, up‑to‑date and reflect the true state and progress of work.
  • Processing fund switches and claims for clients.
  • General Administration support to the wider Financial Planning team, assisting with meeting preparation and client enquiries.
  • Maintaining the CRM system to keep Financial Planners updated throughout the processing of business in accordance with Service Level Agreements.
  • Managing the Onboarding and Off‑boarding of clients, including updating CRM, informing providers, and adding or removing fees.
  • Supporting Financial Planning Associates with MIFID statements as required.
  • Continuously reviewing own and team’s workflows and processes and offering support to other colleagues where appropriate.
  • Coordinating with other team members to ensure that all housekeeping is maintained up to date for efficient department operation.
Essential Skills And Experience
  • Experience in Financial Services.
  • Experience working with platforms and providers such as Abrdn, Aviva and AJ Bell.
  • Minimum of 5 GCSEs graded A–B, or equivalent, including Maths and English.
  • Previous experience supporting a Financial Advisor.
  • Good organisational, time‑management skills and effective caseload management.
  • Ability to work well under pressure while maintaining excellent attention to detail.
  • Ability to work independently for extended periods.
  • Professional, ethical and discreet conduct.
Desirable Skills And Experience
  • Relevant professional qualifications.
  • Degree level education is an advantage.
