Responsibilities

  • Manage and maintain all department files, including matter opening and closing.
  • Produce, format, and file documents, copies, and scans.
  • Ensure compliance with regulatory standards and internal processes.
  • Manage the billing process and liaise with the Finance team.
  • Perform technical typing tasks.
  • Handle incoming calls for the team.
  • Manage department diaries and arrange meetings.
  • Contribute to operational reviews and improvements.

About the Role

Our Private Client team is looking to recruit an experienced Executive Administrator to provide high‑quality administrative support. This is a key role within a busy and fast‑paced department, requiring exceptional organisation, accuracy, and professionalism.

The successful candidate will play an important part in ensuring the team operates efficiently, meets compliance standards, and delivers an excellent client experience. Strong IT skills are essential, as the role involves working extensively with our Case Management System.

We are looking for someone kter confident, proactive, and able to communicate effectively at all levels, with a keen eye for detail and the ability to thrive in a commercial environment.

Typical Duties Include
  • Managing and maintaining all department files (hard copy and SOS), including matter opening, ID checks, matter closing, archiving, and ongoing data updates
  • Producing, formatting, and filing documents, copies, and scans
  • Ensuring full compliance with regulatory standards and internal Office Manual processes
  • Managing the billing process and liaising with the Finance team
  • Technical typing
  • Handling incoming calls for the team
  • Managing department diaries and arranging meetings
  • Contributing to operational reviews and continuous improvement initiatives
Skills & Experience Required
  • Excellent written and verbal communication skills
  • Commercial awareness
  • Previous experience in legal administration, ideally within a Private Client department
  • Strong attention to detail
  • Excellent organisational and planning skills, with the ability to prioritise and meet deadlines
  • Self‑motivated with a desire to learn and progress
  • Strong IT skills
  • Confident client‑facing manner
  • Ability to work collaboratively as part of a team
  • Minimum typing speed of 40 wpm
