Job description
Role profile

We are recruiting for a Knowledge Assistant role to provide high-quality support to our Knowledge Lawyers across the firm's Real Estate, Projects, Planning and Debt Finance teams, enabling consistent delivery of knowledge, training, and insights to our fee earners and clients. It is an ideal opportunity for a proactive assistant who thrives in a professional services environment and enjoys working across multiple teams in a knowledge-focused setting.

This is a permanent role that can be based from our Bristol or London office. The role is full time, although we are open to considering flexible working patterns.

About Osborne Clarke

Osborne Clarke is an international legal practice helping clients respond to today's issues and prepare for tomorrow's challenges in a collaborative, approachable culture. Our Knowledge Team plays a central and strategic role in making Osborne Clarke a great place to work, with friendly, supportive colleagues across our UK offices who work closely together to support the firm's growth and success. We value difference and encourage applicants from all backgrounds; we support flexible working, are signatories to the Mindful Business Charter, and offer a range of wellbeing initiatives and flexible benefits.

Purpose of the role

The Knowledge Assistant will implement knowledge, training and publication workflows, maintain accurate trackers and folders, support legal content publication and distribution, and ensure effective communication and administration around knowledge activities for Real Estate, Projects, Planning and Debt Finance.

Key responsibilities

In this role, you will coordinate the full lifecycle of internal training and knowledge-sharing activities, ensuring sessions are well-planned, clearly communicated and seamlessly delivered. This will include preparing agendas, liaising with speakers, collating materials, arranging recordings and managing post-session follow-up. You will also plan the practice group-wide trainee induction for each March and September intake to ensure a consistent and welcoming experience.

You will support our Knowledge Lawyers with the preparation and publication of client and internal materials, such as newsletters, blogs and insights, by proofreading, formatting and scheduling content, applying appropriate categories and tags, and sharing updates through the relevant internal channels.

You will help keep our knowledge estate organised by maintaining trackers, databases and document folders so materials are current, consistently named and easy to find. This will include filing, archiving and applying version control in line with firm standards, and producing regular summaries, meeting packs and metrics on training and knowledge outputs.

As our AI-enabled knowledge tools evolve, you will engage with them to support search, tagging and content preparation, provide constructive feedback on functionality, assist with testing and training materials, and use the tools in line with governance, confidentiality and data-security requirements.

You will play a key role in onboarding by sharing core materials with new joiners, signposting key resources and arranging introductory training, as well as coordinating bookings for approved external training where required. Day to day, you will triage enquiries about knowledge resources and systems, help users find the right materials, and elevate queries to Knowledge Lawyers where appropriate.

Reporting

This role will report to a Knowledge Lawyer within the Projects, Real Estate and Finance (PREF) practice group but will support all Knowledge Lawyers in that practice group. The PREF Knowledge team is led by our Head of PREF Knowledge (also a Debt Finance Knowledge Lawyer).

Who we're looking for

We are seeking an assistant with experience ideally in a professional services environment. You will be comfortable working across multiple teams, managing concurrent workflows and deadlines, and adapting communication style for a range of stakeholders. You will demonstrate excellent attention to detail, strong written and verbal communication, good organisational skills, and proficiency in Microsoft Office. You will be adept at following clear processes, working with confidential information, clarifying incomplete instructions before acting, and operating with initiative while knowing when to elevate. A collaborative, professional, and flexible approach is essential.

Salary and benefits

We offer competitive salaries and generous benefits. We value the health and wellbeing of our people and our wide range of initiatives and benefits support this.

Our recruitment process

Please note that although we include closing dates for our roles as a guide, we review and progress applications on a rolling basis. At Osborne Clarke we do not make any recruitment decisions using automated decision-making.

We are committed to providing an environment where you can perform to the best of your abilities at every stage of your recruitment experience and beyond. If you require any adjustments to be made during the application stage, interview process, or when working with us, please let us know in confidence.
