Administrative Business Partner (12 month fixed term contract)

Snapshot

We're looking for two experienced Administrative Business Partners to join our 12-month flex program, focused on the crucial onboarding of new Google DeepMind executives. In this 'touch and go' role, you'll provide expert administrative support during their initial 3+ months, directly contributing to their successful integration. This is an ideal role for someone who enjoys a fast-paced, flexible environment and excels at supporting senior leaders across various teams and areas.

About Us

Artificial Intelligence could be one of humanity’s most useful inventions. At Google DeepMind, we’re a team of scientists, engineers, machine learning experts and more, working together to advance the state of the art in artificial intelligence. We use our technologies for widespread public benefit and scientific discovery, and collaborate with others on critical challenges, ensuring safety and ethics are the highest priority.

The Role

Key responsibilities:

  • Perform a wide range of E/ABP tasks on a rotating basis, including managing complex calendars, booking travel, creating expense reports, organizing events, and scheduling facilities and equipment.
  • Seamlessly onboard/ramp-up and offboard new executives, adjusting and pivoting as needed to meet evolving needs.
  • Provide meeting support by circulating agendas, capturing notes, and ensuring action items are followed up on.
  • Arrange domestic and international travel, including hotel reservations, flight check-in, visas, and detailed itineraries.
  • Handle financial administration such as compiling expense claims, approving purchase orders, and managing reimbursements.
  • Act as a point of contact, managing incoming requests and heavy email correspondence.
  • Build efficiency and effective responsiveness into operations, suggesting ideas for continuous improvement and helping to define new operational strategies.
  • Collate and track actions and deliverables.
  • Establish exemplary trust with executive leaders and partners, making decisions on their behalf using excellent judgment and discretion.
  • Develop strong working relationships with each leader by thinking ahead, handling priorities, anticipating needs and future challenges, and proposing solutions to enable effective decision-making.
  • Understand key stakeholders and build/maintain effective working relationships across the organization.
About You

You are a resilient Assistant, with experience working in a fast-paced environment. You are energetic, enthusiastic and have a keen interest to continue to develop your career in supporting and enabling others. Colleagues describe you as positive, warm, kind, trustworthy and efficient; with a can-do attitude, willingness to learn and a strong desire to grow.

  • Passionate about supporting and enabling others, motivated by Leader support.
  • Proactive, you are a self-starter and a naturally strong problem-solver; you can anticipate what needs to be done without guidance.
  • Highly organised, you manage priorities well; juggling and handling multiple deadlines and tasks efficiently, whilst being able to manage expectations in a thoughtful way.
  • Can adapt quickly to changing demands and embrace ambiguity
  • Able to demonstrate administrative excellence, you have an acute and exceptional attention to detail.
  • Solid communicator and active listener; you exhibit a high EQ.
  • Able to build relationships across teams and foster trust.
  • Collaborative and thrives in a team environment.
  • Proactively seek out time-saving solutions and tools.
  • Open to new ways of working, curious and dedicated to continuous improvement for yourself and the team.
  • Experience with Google Suite is preferable but not crucial.
